We are seeking a dedicated and organized Office Manager to oversee the administrative operations of our busy Pediatric Speech Therapy Clinic. The ideal candidate will play a pivotal role in maintaining the smooth functioning of the clinic, ensuring efficient patient scheduling, managing office staff, handling billing and insurance processes, and providing exceptional customer service to patients and their families. Description

Responsibilities:

  • Patient Scheduling: Coordinate and manage patient appointments, ensuring optimal scheduling to maximize therapist efficiency while accommodating patient and family needs.
  • Staff Supervision: Provide leadership and direction to office staff, including receptionists and administrative assistants. Foster a positive and collaborative work environment, oversee training, and manage performance evaluations.
  • Billing and Insurance: Oversee accurate and timely billing processes, ensuring proper coding and submission of claims to insurance providers. Work closely with billing department to address any discrepancies or denials.
  • Patient Records: Maintain confidential and organized patient records, ensuring compliance with relevant laws and regulations (HIPAA). Ensure accurate and up-to-date information in electronic health records (EHR) systems.
  • Front Desk Operations: Manage the front desk operations, including greeting patients and families, answering phone calls, responding to inquiries, and addressing concerns in a courteous and professional manner.
  • Financial Management: Monitor clinic expenses, track financial transactions, and collaborate with the clinic director to prepare budget reports. Implement cost-effective strategies to enhance clinic profitability.
  • Inventory Management: Oversee the ordering and management of office supplies, therapy materials, and equipment to ensure adequate stock levels.
  • Communication: Maintain effective communication with therapists, clinicians, patients, and their families to ensure a smooth patient experience. Coordinate with therapists to ensure they have necessary schedules and resources.
  • Compliance: Stay informed about relevant industry regulations and standards, ensuring clinic compliance with all applicable laws and guidelines.
  • Quality Improvement: Collaborate with the clinic director to identify areas for improvement and implement streamlined processes to enhance overall clinic efficiency and patient satisfaction.
  • Problem Solving: Address and resolve any operational issues, patient concerns, or conflicts that may arise within the clinic environment.


Qualifications:

  • Proven experience in office management, preferably in a medical or healthcare setting (1 year minimum).
  • Familiarity with medical billing, insurance processes, and electronic health records (EHR) systems.
  • Strong leadership and supervisory skills, with the ability to motivate and manage a team.
  • Excellent organizational and multitasking abilities, with keen attention to detail.
  • Exceptional interpersonal and communication skills for interacting with patients, families, and staff.
  • Proficiency in Google Workspace, Monday, and Microsoft Office Suite and other relevant software.
  • Knowledge of HIPAA regulations and healthcare compliance standards.
  • Empathy and understanding for working with pediatric patients and their families.
  • Problem-solving mindset and ability to adapt in a fast-paced environment.
