SCGSAH Foundation Mission: We serve South Carolina's artistically talented students by increasing awareness and raising revenue to ensure excellence in our nation's premier public residential high school for the arts. The SC Governor's School for the Arts and Humanities Foundation raises private dollars to increase access to the SC Governor's School for the Arts and Humanities for students with financial needs, support the school's efforts to provide arts education in under-resourced counties, and bridge the gap between state funding and the unique needs of a premier public arts school.

Part-Time Operations & Finance Administrator

Location: Greenville, SC

Schedule: Part-Time (Approximately 20 Hours per Week)

Reports To: Executive Director

The Governor's School Foundation is seeking an organized, detail-oriented, and highly dependable Part-Time Operations & Finance Administrator to serve as the operational backbone of our organization.

This role is ideal for someone who enjoys creating order, managing details, improving systems, and ensuring that important work gets done efficiently and accurately. While not a fundraising position, this role is critical to our success, supporting financial operations, grantmaking administration, board governance, office management, and organizational systems that allow our leadership team to focus on advancing the Foundation's mission.

What You'll Do

Financial Administration & Fund Management

  • Monitor fund reports and identify unusual activity.
  • Track, reconcile, and report fund distributions on a monthly basis.
  • Prepare funding availability reports for school departments.
  • Coordinate fund transfers and support accounting processes.
  • Manage and reconcile the organization's Divvy card program.
  • Process incoming mail, checks, and financial documentation.

Grant Administration

  • Receive and review grant requests for completeness and alignment with funding requirements.
  • Assemble supporting documentation and maintain accurate records.
  • Coordinate the grant approval process and communicate status updates.
  • Verify available funding and facilitate approved transfers.
  • Create and distribute instructional materials regarding grant procedures.

Board & Executive Support

  • Maintain board records, board portals, and governance documentation.
  • Coordinate board and committee meetings.
  • Prepare and distribute board packets.
  • Record and distribute meeting minutes.
  • Support the Executive Director with calendar management, meeting logistics, and travel coordination.

Operations & Systems Management

  • Serve as the organization's primary administrator for project management systems.
  • Support staff adoption and use of organizational technology tools.
  • Maintain Google Workspace and shared drive organization.
  • Coordinate with technology vendors and support compliance efforts.
  • Develop, document, and maintain standard operating procedures (SOPs).
  • Manage document retention and records management processes.

Office Operations & HR Support

  • Answer and manage the main office phone line.
  • Coordinate staff meeting agendas and internal office activities.
  • Manage office supplies and operational purchasing.
  • Support employee onboarding and offboarding logistics.
  • Coordinate equipment, access credentials, parking permits, and related administrative needs.

Qualifications

Required

  • Three or more years of experience in office administration, operations, nonprofit administration, accounting support, executive support, or a related field.
  • Exceptional organizational and project management skills.
  • Strong written and verbal communication abilities.
  • Demonstrated attention to detail and accuracy.
  • Ability to manage multiple priorities independently.
  • High degree of professionalism and discretion when working with confidential information.

Preferred

  • Experience in a nonprofit environment.
  • Experience supporting boards, committees, or governance functions.
  • Familiarity with accounting, expense management, or fund administration.
  • Experience with grant administration or educational organizations.

Technical Skills

  • Google Workspace (Gmail, Drive, Docs, Sheets, Calendar)
