Position Overview
The Practice Operations Coordinator plays a vital role in supporting both clients and clinicians while ensuring smooth and efficient operations.
This role is ideal for someone interested in healthcare administration, behavioral health operations, client experience, or practice management. The ideal candidate is organized, proactive, professional, and enjoys building systems that help people succeed.
Key Responsibilities
Client Experience & Intake Coordination
- Serve as a primary point of contact for prospective and current clients
- Coordinate consultations, scheduling, intake completion, and onboarding
- Support therapist matching and client placement
- Respond to client questions and administrative concerns
- Support client engagement through proactive follow-up and communication
Practice Operations
- Support daily practice operations and administrative workflows
- Maintain records within TherapyNotes and related systems
- Support therapist scheduling and client placement to maximize access to care and practice efficiency
- Monitor attendance, cancellations, and client engagement trends
- Identify opportunities to improve systems and workflows
- Ensure HIPAA compliance and confidentiality standards
Referral & Community Support
- Maintain referral and community partner relationships
- Track referral activity and outreach efforts
- Represent Healing Springs at occasional networking and community events
- Assist with workshop and event coordination
Schedule
- 25-30 hours per week
- Monday through Friday during regular business hours
- Occasional weekend availability for workshops, networking, and community events
- Opportunity to transition into a full-time position as the practice grows
Qualifications
- At least 2 years of experience in healthcare administration, behavioral health, or a related field
- Experience in a private practice or behavioral health setting strongly preferred
- Strong organizational, communication, and problem-solving skills
- Ability to manage multiple priorities in a fast-paced environment
- Experience with electronic health records or client management systems preferred
- Proficiency with Google Workspace and general office technology
- Experience with TherapyNotes is a plus
- Bilingual candidates are encouraged to apply
Compensation & Benefits
- $23–$25 per hour based on experience
