Accounting Specialist


POSITION DESCRIPTION:


The Accounting Specialist at the Boys & Girls Clubs of Bloomington plays a vital role in supporting the financial operations of the organization. Primary responsibilities include managing day-to-day accounting processes for accounts payable, accounts receivable, reconciliations, and donor-related financial tracking. This role collaborates across departments, especially with Resource Development, to maintain accurate financial records, support donor stewardship, and provide excellent service to donors, board members, and community stakeholders. 

This position reports to the Vice President of Finance and is ideal for a highly organized, detail-oriented professional who thrives in a mission-driven environment.


ESSENTIAL JOB FUNCTIONS:


Accounts Receivable 

  • Record and monitor multiple streams of revenue in QuickBooks Online accounting system and Bloomerang donor database, ensuring accurate allocation and timely processing.
  • Support donor data entry and updates, including maintaining accurate donor records and campaign tracking.
  • Generate invoices for pledges receivable (donors, event sponsors) and accounts receivable (facility rentals).
  • Follow up on overdue or failed payments and communicate with stakeholders to resolve outstanding balances.
  • Prepare bank deposits.


Accounts Payable 

  • Review and process vendor invoices and expense reports, ensuring accuracy and adherence to budget guidelines.
  • Coordinate with internal departments to obtain proper approvals for bill payments and credit card expenditures, working with Club and Administrative staff to obtain documentation to support transactions.
  • Prepare and execute payments to vendors in a timely manner, while maintaining accurate records.
  • Work with Club and Administrative staff to obtain documentation to support transactions.


Reconciliation of Accounts

  • Support regular reconciliations of bank accounts, credit cards, and other balance sheet accounts.
  • Investigate and resolve any discrepancies to ensure accurate financial reporting.


Financial Reporting

  • Processes all financial transactions and reports through administrative systems consistent with Club policies and procedures.
  • Contribute to the timely submission of required documentation and reports for staff and board leadership, grant funders, and auditors.

Additional Responsibilities


  • Assists with annual audit and special projects as directed.
  • Assists with payroll and benefits administration as needed.
  • Monitors day-to-day accounting processes to identify opportunities for quality improvement.



QUALIFICATIONS:


  • Associate or bachelor’s degree in an accounting-related field.
  • Experience in a non-profit organization and prior grant accounting is a plus.
  • Experience with Bill.com accounts payable software, Divvy Spend & Expense platform, Bloomerang donor database platform, and Salesforce CRM.



SKILLS/KNOWLEDGE REQUIREMENTS:


  • Associates degree in business-related field (Bachelor’s in accounting-related field preferred).
  • 2 years of relevant accounting experience preferred.
  • Proficiency in accounting software (QuickBooks Online) and Microsoft Excel (Bill.com and Divvy Spend & Expense also preferred).
  • Excellent attention to detail and accuracy. 
  • Understanding of financial principles, budgeting, and financial analysis.
  • Strong communication and interpersonal skills.
  • Ability to work independently and collaboratively within a team.
  • Experience in a non-profit organization and prior grant accounting is a plus.



PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:


  • Ability to perform gross and fine motor activities required for typing, writing, simple manipulations such as telephone buttons, computer keyboards, fax machine buttons, etc.
  • Ability to work in a professional environment and positively represent the organization.
  • Ability to work on multiple projects and prioritize effectively.
  • Visual acuity for accurate reading, typing, filing and use of computer screen.
  • Ability to work at a rapid pace and where frequent interruptions and changes in plans or deadlines may occur.
  • Hearing is needed for purposes of business-related phone communication.
  • Ability to bend, twist, reach, stoop, squat for filing and retrieval of stored files and supplies.
