Zora’s House is seeking a Temporary Operations Manager to provide in-person operational coverage during the leave of our full-time Operations Manager. This role is critical to maintaining the day-to-day functionality, safety, and hospitality of our building while ensuring continuity across facilities, vendors, security systems, and space rentals. The ideal candidate is highly reliable, detail-oriented, calm under pressure, and comfortable serving as the on-site point person for facilities and operational needs. This is a hands-on, in-person role that requires strong judgment, clear communication, and a proactive approach to problem-solving.

Core Responsibilities

Facilities & Building Operations

  • Serve as the first point of contact for facility-related issues during scheduled coverage hours
  • Respond to maintenance needs and coordinate with approved vendors as needed
  • Conduct basic troubleshooting for building systems (access, alarms, appliances, copy machine, etc.)
  • Monitor building condition and report concerns or emerging issues to the Managing Director
  • Track scheduled maintenance, inspections, and cleaning coordination via shared calendars

Vendor & Contractor Coordination

  • Communicate with facilities vendors (cleaning, security, maintenance, construction) as issues arise
  • Escalate urgent building or safety concerns to designated vendor contacts or leadership
  • Support timely coordination for vendor access and on-site work

Security, Safety & Access

  • Support daily building access protocols using systems such as Kisi and Rhombus
  • Assist with opening/closing procedures as needed during coverage hours
  • Act as on-site contact during safety or security-related incidents and escalate appropriately
  • Ensure the building remains secure, welcoming, and operational during staffed hours

Space Rentals & Inbound Inquiries

  • Manage and update the Monday.com booking system for space rentals, including tracking inquiries, availability, confirmations, and internal handoffs
  • Support the [email protected] and [email protected] inbox by responding to general inquiries and routing requests
  • Assist with space rental logistics during rental days, as needed
  • Coordinate with staff leads to ensure smooth on-site experiences for renters and guests

Communication & Reporting

  • Provide regular updates to the Managing Director regarding building status, issues, or follow-ups
  • Document incidents, vendor interactions, or notable facility concerns as needed
  • Maintain professionalism and clear communication with staff, members, vendors, and visitors

Required Qualifications

  • 2–5 years of experience in operations, facilities management, hospitality, or a related field
  • Comfort working independently and serving as the on-site decision-maker during assigned hours
  • Strong organizational skills and attention to detail
  • Ability to remain calm and solution-oriented in time-sensitive situations
  • Strong communication skills (written and verbal)
  • Basic comfort with technology systems (email, calendars, access control tools, shared drives)
  • Ability to be physically present and mobile throughout the building during shifts
  • Ability to lift or move items up to 25 lbs as needed

Preferred Qualifications

  • Prior experience with building operations, coworking spaces, or event venues
  • Familiarity with security/access systems (e.g., Kisi, Slack, Rhombus) or willingness to learn quickly
  • Experience coordinating vendors or contractors

Work Environment & Expectations

  • This is a fully in-person role
  • Core hours are Tuesday–Thursday, 10:00 AM–3:00 PM
  • Some weeks may require additional hours (up to 30/week) based on operational needs
  • Occasional flexibility may be needed for urgent building issues or special events

Compensation

  • Hourly, commensurate with experience
  • Temporary role with no expectation of continuation beyond May 22, 2026
