This position is responsible for providing comprehensive administrative and professional support to the CEO and CFO. This position maintains a high level of knowledge of Zeeba administrative teamwork flows, policies, and procedures. Responsible for performing a variety of administrative functions requiring confidentiality. Provide high-level administrative support by performing clerical functions such as preparing project level correspondence, scheduling meetings, expenses, travel arrangements and organizing company events.Possess a "no task too big or too small attitude" and thrive in a rapidly growing environment.


Executive Assistant

Reports To: CEO and CFO

Key Responsibilities:

  • Mail Management: Manage and organize all incoming mail and correspondence, ensuring timely and efficient distribution and response.
  • Schedule Management: Strategize the weekly schedule for the CEO and CFO based on provided agendas and targets. This includes prioritizing and coordinating meetings, events, and travel arrangements.
  • Meeting Coordination: Proactively set up and coordinate meetings, including preparing agendas, meeting materials, and follow-up tasks.
  • Administrative Support: Provide comprehensive administrative support, including drafting emails, reports, and other documents on behalf of the executive team.
  • Project Management: Assist in the management of special projects, ensuring that all projects are delivered on time and within scope.
  • Communication: Serve as the primary point of contact between the executive team and internal/external stakeholders, maintaining professional and effective communication at all times.
  • Office Management: Ensure the smooth day-to-day operation of the downtown LA office, including managing office supplies, equipment, and maintenance needs.
  • Event Planning: Organize and coordinate executive team events, such as offsite meetings, team-building activities, and company celebrations.
  • Confidentiality: Handle sensitive information with the highest degree of integrity and confidentiality.


  • Educational Background: A bachelor's degree in Business Administration, Communications, or a related field is preferred.
  • Experience: Proven experience as an Executive Assistant, Chief of Staff, or in a similar role supporting high-level executives.
  • Skills:
  • Excellent organizational and multitasking abilities.
  • Strong written and verbal communication skills.
  • Proficiency in office management software and tools, such as Microsoft Office Suite and Google Workspace.
  • Ability to work independently and take initiative.
  • Strong problem-solving skills and attention to detail.
  • Ability to manage multiple priorities and deadlines.

Employment Details:

  • Location: Downtown Los Angeles office (2-3 days per week)
  • Type: Part-Time, 5 hours per week
  • Compensation: $24-$38 Hourly (based on qualifications and experience)
