ROLES + RESPONSIBILITIES


Calendar, Schedule & Inbox Management [40% of Role]

  • Manage and prioritize CEO email inboxes (both professional and personal), including filtering messages, drafting high-quality responses, flagging priorities, and ensuring nothing falls through the cracks
  • Maintain and proactively update Sarah’s calendar, coordinating both internal and external meetings, travel, family commitments, and personal time
  • Own calendar integrity by protecting time for CEO-level work and ensuring a sustainable weekly cadence
  • Coordinate and schedule meetings, events, podcast recordings, speaking engagements, interviews, etc.
  • Oversee travel planning, including booking, itinerary management, and accommodations for both personal and professional trips 
  • Anticipate calendar conflicts, prepare daily and weekly overviews, and proactively adjust plans based on evolving priorities


Personal Support & Life Management [30% of Role]

  • Manage logistics for family, household, and school-related activities with a high degree of foresight and discretion
  • Maintain personal task lists and help streamline life logistics (event RSVPs, gift purchases, Amazon orders, etc.)
  • Track key family dates, school deadlines, and seasonal tasks to ensure nothing is missed
  • Act as a trusted thought partner for simplifying logistics across work and life


Project & Systems Organization [20% of Role]

  • Keep project plans, internal documents, and notes organized in Google Drive and ClickUp
  • Organize files and information relevant to Sarah’s goals and ongoing projects
  • Help create checklists or SOPs for recurring tasks and improve back-end organization
  • Ensure team-wide alignment by tracking action items and coordinating with team members for seamless handoffs
  • Coordinate with other team members to ensure smooth internal workflows


Administrative Support [10% of Role]

  • Provide light support for marketing, content publishing, and operations (e.g., scheduling emails, updating internal docs, light Canva editing)
  • Process reimbursements, manage receipts, organize invoices, and support expense tracking
  • Draft high-quality written communication (emails, thank-you notes, bios, responses, etc.) as needed
  • Perform occasional research or vendor outreach for both personal and business needs


CORE COMPETENCIES + QUALIFICATIONS 

  • Exceptionally organized with strong attention to detail
  • Able to manage priorities across both business and personal spheres
  • Excellent communication skills (written + verbal)
  • Comfortable using tools like Google Calendar, Gmail, Slack, ClickUp, Google Drive, and Zoom
  • Professional, discreet, and trustworthy with confidential information
  • Flexible, self-motivated, and able to anticipate needs
  • Experience supporting a founder or executive is strongly preferred
  • U.S.-based and available during standard Eastern time business hours


SALARY RANGE + BENEFIT OFFERINGS

  • Part-time remote position (10–20 hours/week) with potential to grow; preference is for Charlotte-area team members to help with occasional in-person support
  • Employee role at $30–$40/hour depending on experience
  • Flexible hours, with some availability required during business hours for real-time support
  • Opportunity to become a long-term strategic partner to the CEO
