You Matter 2 is seeking a highly organized, detail-oriented, and dependable Administrative & Operations Assistant to support the smooth operation of our office, programs, events, volunteers, and organizational systems.
This part-time role provides administrative, operational, volunteer coordination, bookkeeping documentation, data entry, and logistical support to the Founder & CEO, Program Director, program staff, board operations, volunteers, families, and community-facing initiatives.
The ideal candidate is responsive, professional, organized, and comfortable balancing multiple tasks in a fast-paced, mission-driven nonprofit environment.
Key Responsibilities
The Administrative & Operations Assistant will support:
- Administrative & Office Support: Assist with scheduling, filing, document preparation, internal communication, calendars, meeting logistics, and organized digital/physical records.
- Volunteer Coordination: Support volunteer registration, onboarding, scheduling, communication, sign-in sheets, reminders, records, and post-event follow-up.
- Program & Event Logistics: Assist with room setup, supplies, materials, registration forms, waivers, sign-in sheets, snacks, event packets, and program/event preparation.
- Board & Meeting Support: Support meeting scheduling, agenda preparation, meeting materials, minutes, attendance tracking, and follow-up items.
- Bookkeeping Documentation: Help organize receipts, invoices, reimbursements, payment confirmations, vendor records, and financial backup documentation for bookkeeping and grant files.
- Data & Systems Support: Enter and maintain accurate information in spreadsheets, forms, registration systems, contact lists, volunteer records, and shared drives.
- Communications & Customer Service: Serve as a professional and welcoming point of contact for families, volunteers, partners, vendors, board members, and community members.
Qualifications
- 1–3+ years of experience in administrative support, office operations, volunteer coordination, nonprofit support, bookkeeping documentation, or a related role.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple tasks, deadlines, and shifting priorities.
- Comfortable using Google Workspace, Microsoft Office, spreadsheets, forms, shared drives, scheduling tools, and other office systems.
- Comfortable learning new systems such as CRM, registration, volunteer management, or bookkeeping platforms.
- Ability to maintain confidentiality when handling youth, family, volunteer, staff, board, vendor, and financial records.
- Professional, dependable, responsive, and able to follow through on assigned tasks.
- Ability to work independently while also collaborating with a team.
- Ability to work some evenings and weekends as needed to support programs, volunteers, meetings, and events.

Preferred Experience
- Experience in a nonprofit, school, youth-serving organization, community-based organization, or mission-driven environment.
- Experience supporting volunteers, events, programs, board meetings, or administrative systems.
- Experience organizing receipts, invoices, reimbursements, vendor records, or grant documentation.
- Experience with Google Drive, Google Sheets, Google Forms, Gmail, Google Calendar, Canva, CRM systems, registration platforms, or accounting/payment systems.
- Familiarity with South Suburban Cook County communities is a plus.
Work Environment
This position includes a combination of office-based administrative work, program/event support, and occasional remote administrative tasks when appropriate. The Administrative & Operations Assistant may support activities at You Matter 2’s primary program site, community events, board or committee meetings, volunteer activities, and other program locations.
This is a part-time position expected to average approximately 20–25 hours per week, with some evening or weekend availability required to support programs, volunteer events, board meetings, community events, fundraisers, or special initiatives.
