Description

Grow with our practice

Wisconsin Family Dental is a local, female-owned dental practice dedicated to providing comfortable, personalized care and building lasting relationships with our patients. We are seeking an organized, personable, and dependable Dental Front Desk Coordinator / Office Manager to help create a welcoming patient experience and keep our daily operations running smoothly.

This opportunity is a great fit for an experienced front office professional who enjoys working with patients, takes initiative, and is excited to contribute to a growing and evolving practice. We welcome both experienced dental office managers and candidates with strong front office and insurance coordination experience who are ready to grow into additional leadership responsibilities.

What you’ll do

  • Greet patients warmly and assist with check-in and check-out.
  • Answer phones, respond to messages, and communicate with patients professionally and promptly.
  • Schedule and confirm appointments, manage schedule changes, and coordinate with the clinical team to support an efficient day.
  • Verify insurance eligibility and benefits, help patients understand coverage and estimated costs, and support insurance claims and follow-up.
  • Assist with billing, payment collection, and patient account questions.
  • Maintain accurate patient information and keep electronic records, files, and office documents organized.
  • Support daily office operations, administrative tasks, and communication across the team.
  • Help identify opportunities to improve office processes and the patient experience.

Opportunity for management and leadership

Depending on your experience and readiness, this position may also include staff coordination, onboarding and training, payroll support, and broader business and practice management responsibilities.

Prior experience in these areas is a plus. Candidates with a strong foundation in front office operations and insurance coordination may develop these skills and take on greater responsibility over time while working closely with practice ownership.

What we’re looking for

  • Previous front office experience and hands-on insurance coordination experience are required.
  • Strong communication and customer service skills, with a welcoming and professional approach.
  • Excellent organization, attention to detail, and follow-through.
  • Ability to prioritize tasks and balance patient needs, phone calls, scheduling, and administrative responsibilities.
  • Dependability, discretion, and respect for patient confidentiality.
  • Initiative, sound judgment, and a willingness to ask questions and learn.
  • A collaborative attitude and openness to adapting as our practice grows and our processes evolve.

Additional experience we value

  • Dental front office experience and familiarity with dental terminology, billing, and insurance.
  • Prior dental office management, staff supervision, or business management experience.
  • Experience with Curve Dental, Gusto, Microsoft Office, or SharePoint.
