Whole Connection LLC Office and Administrative Assistant Boulder, CO · Full time

Whole Connection is seeking a highly organized and compassionate Office Assistant and Receptionist to join our team of dedicated professionals. The ideal candidate will be organized, detail oriented, caring and supportive, communicate effectively through written and on the phone, and is wanting to work in a community driven work environment. This position will have multiple responsibilities and will connect regularly with Therapists and the Client Specialists. This position will be in person at the Boulder location to help with the space and clients, as well as be readily available for phone calls when working.

This position is a mixture of two main position and filling in for a third as needed:

1) Supporting general office needs primarily at the Boulder, but also Denver locations

  • Keep office supplies stocked and organized.
  • Manage office facilities and supplies, which might moving items around the office, tidying up, plant care, refilling printer paper, etc
  • Organize and create projects, gatherings, or tasks for Director and leadership
  • Support organization of social media to keep up to date with changes in mental health environment
  • Track call correspondence via paperwork, mail, and emails


2) Administrative assistant support for the leadership and director of Whole Connection

  • Support in organizing the hiring of interns and employees.
  • Reminding and updating staff on changes as necessary
  • Assist the Director in daily and monthly projects by getting information, collecting data, reaching out to outside resources
  • Answer and respond to emails
  • Become primary/secondary point of contact for internal and external inquiries
  • Support payroll as needed
  • Support and implement EHR internal Audits


3) Lastly, as needed, back up and support the Client Specialist and Intake Support via phone/email reception work

  • Assist clients with checking in for their appointments.
  • Answer incoming phone calls and direct them to the appropriate staff member.
  • Answer and direct phone calls in a professional and courteous manner
  • Provide administrative support to therapists and other staff members, such as supporting with collection, scanning and uploading documents, calling clients around no-shows 


Qualifications:

  • Excellent communication with clients and other advisors/staff; outgoing, personable, and friendly
  • Excellent attention to details
  • Strong organizational and time management skills.
  • Strong problem solving skills
  • Ability to multi-task and be comfortable with several different tasks
  • Proficient in Google Workspace and Zoom Phone systems.
  • Excellent communication and interpersonal skills
  • Strong problem solving skills
  • Familiarity with and experience using social media
  • Previous experience with Electronic Health Record systems
  • Bilingual in Spanish (preferred)
  • High school diploma or equivalent.
  • 1-2 years of experience in an office setting.

Salary

$19 - $24 per hour
