We are looking for a Virtual Assistant at Wexford Volunteer Fire Department, you will provide critical administrative support to ensure the smooth functioning of our department. You will assist in managing schedules, coordinating events, and facilitating communication among our volunteers and the community.


Key Responsibilities:

Administrative Support: Manage calendars, schedule meetings, and handle correspondence for department leaders and committees.

Event Coordination: Assist in organizing community events, fundraisers, and training sessions, including logistical planning and communications.

Document Management: Prepare, proofread, and maintain departmental documents, reports, and records.

Data Entry: Update and manage databases related to volunteer information, equipment inventory, and community outreach.

Communication: Serve as a point of contact for internal and external communications, including handling inquiries and providing information to the public.

Volunteer Coordination: Support the recruitment, scheduling, and coordination of volunteers, including managing volunteer records and tracking hours.

Website and Social Media: Assist with updating the department’s website and social media channels to keep the community informed and engaged.

Technical Support: Troubleshoot basic technical issues and assist with the implementation of new tools or systems as needed.


Requirements:

Education: High school diploma or equivalent; additional training or certifications in administration or related fields is a plus.

Experience: Previous experience as a Virtual Assistant or in an administrative role is preferred.

Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and familiarity with basic website and social media management.

Communication: Strong written and verbal communication skills, with the ability to interact professionally with volunteers, community members, and stakeholders.

Organizational Skills: Excellent organizational abilities with a keen attention to detail and the capability to manage multiple tasks and deadlines.

Self-Motivation: Ability to work independently, prioritize tasks effectively, and take initiative in a remote work environment.
