The Associate Wealth Solutions Specialist plays a pivotal role in our firm, focusing on the seamless onboarding of new clients and serving existing clients while maintaining strong, ongoing relationships throughout the client lifecycle. This position is essential in ensuring that clients receive exceptional service and support from the initial engagement through to long-term relationship management. As the Associate Wealth Solutions Specialist, you will bring exceptional interpersonal skills, a deep understanding of the client journey, and a commitment to delivering outstanding client experiences. This position will consistently follow high standards of business and professional ethics as well as legal and regulatory requirements. Responsibilities and time allocation will change over time to meet the practice’s needs and can include other duties as assigned by the COO, or Director of Client Services.
Essential Job Functions
Client Onboarding and Account Setup
· Lead the client onboarding process, ensuring a smooth and welcoming transition for new clients.
· Collaborate with advisors to gather, prepare, and organize client information, ensuring documentation and account setup are completed within two business days of client meetings.
· Facilitate incoming transfers by submitting requests to Brookstone, tracking progress, and conducting audits upon completion.
· Communicate timelines, expectations, and next steps to clients, ensuring onboarding activities meet regulatory standards.
Client Lifecycle Management and AUM Servicing
· Maintain and strengthen client relationships by delivering continuous operational support throughout the client lifecycle.
· Serve as the primary point of contact for client inquiries, processing service requests (deposits, withdrawals, account changes) within 24 hours.
· Monitor client accounts to ensure they meet deadlines for retirement plan contributions and RMD withdrawals, proactively contacting clients at least 30 days before deadlines.
· Assist clients with technical issues on financial platforms (e.g., login, data entry, document uploads) and respond to advisor inquiries promptly.
· Engage with clients at key milestones, such as annual reviews and life events, ensuring their operational needs are met.
Policy Owner Services (PHS) for Existing Annuities and Insurance Policies
· Provide administrative support for existing policies, including beneficiary updates, personal information changes, and payment method adjustments.
· Manage ongoing policy maintenance, such as calculating loan interest, preparing loan repayment quotes, and reviewing conversion options.
· Monitor policies nearing lapse and facilitate timely communication with clients regarding policy updates, reinstatements, or premium payments.
· Prepare underwriting reports, statistical data, and summaries for internal meetings and advisor review.
Scheduling and Operational Support
· Manage the scheduling of client meetings and coordinate with advisors to ensure smooth calendar management.
· Ensure efficient data entry and documentation across systems, maintaining accurate, up-to-date client information.
· Develop and refine operational processes to enhance service delivery, ensuring timely and effective handling of all client service requests.
Compliance and Regulatory Oversight
· Ensure that all client service activities comply with industry regulations and firm policies, maintaining the highest standards of business ethics.
· Stay informed of industry trends and regulatory changes to ensure our client service practices remain compliant and competitive.
Client Relationship Development
· Collaborate with the advisory and marketing teams to identify opportunities to deepen client relationships, including the introduction of additional services or solutions that align with client goals.
· Participate in client events, seminars, and other engagement activities to foster a deeper connection with clients and promote the firm's services.
Collaboration
· Work closely with advisors and other departments to ensure a cohesive approach to client service and relationship management.
· Contribute to team meetings and discussions on improving client service processes and strategies.
