Support Waypoint’s mission by assisting the Lead Pastor with daily administrative operations in their role as Executive Officer, in accordance with the Book of Discipline and church's Guiding Principles.

HOURS: 16-18 hours/week, Mon-Thur (Sunday mornings preferred but negotiable)


ESSENTIAL FUNCTIONS

The responsibilities of the Director of Administration include, but are not limited to:


Administration

  • Manage daily church office operations, ensuring a well-organized, well-supplied, and supportive work environment.
  • Oversee church management software and related systems, providing basic IT support to staff.
  • Handle phone calls, emails, mail, filing, and administrative support for pastors and staff.
  • Implement and uphold church policies, procedures, and operational guidelines.
  • Coordinate service contracts (e.g., food, janitorial, copier, HR).
  • Order office and cleaning supplies with proper approvals.
  • Assist the Lead Pastor with Governing Board-related tasks as requested.
  • Support the Lead Pastor with annual reporting as requested.
  • Attend applicable meetings as outlined by the Lead Pastor.


Financial Management

  • Support the Lead Pastor with budget planning, implementation, and monitoring.
  • Ensure financial practices align with proper standards and tax compliance.
  • Oversee financial systems, ledgers, and the chart of accounts.
  • Process payables accurately and on time, including reimbursements and apportionments.
  • Ensure vendor W-9s and Certificates of Insurance are on file before issuing payments.
  • Reconcile bank accounts and track all funds, including designated gifts.
  • Maintain healthy cash flow, monitor bank balances, and plan for major expenses.
  • Submit weekly payables for approval and recommend fund transfers as needed.
  • Manage bank signature cards and serve as liaison for banking matters.
  • Encourage financial stewardship and a culture of generosity.


Human Resource Administration

  • Serve as the HR lead in collaboration with the Lead Pastor.
  • Ensure compliance with labor laws, OSHA, and organizational policies.
  • Maintain complete and current personnel records, including onboarding, exits, and legal documentation.
  • Process payroll, track hours/PTO, and implement approved pay changes.
  • Keep job descriptions and employee handbooks up to date.
  • Support hiring, onboarding, and training processes.
  • Verify staff certifications and credentials are current.
  • Ensure all staff and volunteers complete Safe Gatherings training and background checks.


Facilities Management

  • Serve as the primary contact for all facility and project management needs.
  • Coordinate timely repairs, maintenance, and annual inspections (e.g., fire, backflow).
  • Oversee volunteer teams to ensure proper upkeep of buildings and grounds.
  • Ensure contractor agreements are approved and COIs are on file before work begins.
  • Manage facility-use requests and key distribution logs.
  • Oversee the use of church property and equipment.


QUALIFICATIONS

To fulfill the expectations of the role, the Director of Administration should demonstrate the following: 


EDUCATION & EXPERIENCE

  • Bachelor’s degree or equivalent experience
  • Proven experience utilizing administrative and organizational skills
  • Experience in a church ministry setting is highly desired
  • Understanding of HR management principles and applicable labor laws
  • Basic knowledge of finance and accounting principles
