We're a tech-forward, paperless tax and accounting firm serving small business owners and service providers. We've built our processes around modern tools — Apple hardware, cloud software, and AI-assisted workflows — because we believe accounting doesn't have to look like it did 20 years ago. We're looking for someone who wants to grow with us and learn the real mechanics of bookkeeping and tax prep from the ground up.
The Role
You'll be the detail-oriented backbone of our tax and bookkeeping department — reviewing client documents and entering information accurately into our tax and bookkeeping software. No prior bookkeeping or tax experience is required. What matters more is that you're sharp, coachable, and genuinely interested in how businesses' finances work. We'll train you on the rest.
Think of bookkeeping and tax prep as a puzzle: our experts apply the law, but someone has to put all the pieces together first. That's you. You'll gather and verify the documents and data, communicate with clients directly when pieces are missing, and hand off a complete picture for our team to work with.
This role moves at two very different speeds: during tax season, it's fast, high-volume, and deadline-driven. The rest of the year is much slower and more methodical. We need someone who can shift gears between both without losing accuracy.
What You'll Do
- Review incoming tax and bookkeeping documents for completeness and accuracy
- Enter data into tax and bookkeeping software with a high degree of precision
- Spot missing or inconsistent information — for example, noticing a client had a W-2 from a certain employer last year and following up to ask if they have one again this year
- Communicate directly with clients via email to request missing documents, explaining clearly *why* something is needed so clients understand and respond promptly
- Use AI tools as part of your day-to-day workflow to work faster and more accurately
- Adapt your pace to the season — quick and high-volume during tax time, careful and steady the rest of the year
What You'll Need
- A genuine interest in accounting/finance — no bookkeeping or tax experience required, but curiosity is a must
- Strong written communication skills — you'll be emailing clients directly to request documents and explain, in plain terms, why we need them
- A knack for noticing patterns and connecting dots (e.g., "you had this document last year — do you have it again this year?")
- Must already be comfortable operating on a Mac. This is an Apple-only office — we will not be training on basic computer/OS use, only on our software and processes
- General comfort using AI tools (e.g., ChatGPT or similar) — no specific tool experience required
- Strong attention to detail — this work is largely mistake-intolerant
- Ability to work quickly without sacrificing accuracy, especially during tax season
- Reliability and patience during slower, quieter stretches of the year
- Comfortable in a fully paperless, digital-first office environment
