We are a growing psychiatric practice specializing in ketamine and Spravato® (esketamine) treatment for mood disorders. Our team is dedicated to providing compassionate, evidence-based care in a supportive, patient-centered environment. We are seeking a motivated, organized, and empathetic individual to join our clinic as a Patient Services & Billing Coordinator.

Description

Key Responsibilities

Front Desk & Scheduling

  • Greet patients and create a welcoming, professional environment
  • Check patients in/out and manage daily patient flow
  • Verify and update patient demographic and insurance information at each visit
  • Manage scheduling for psychiatric visits, ketamine/Spravato sessions, and follow-ups
  • Monitor cancellations, waitlists, and appointment optimization
  • Respond to phone calls, text messages, voicemails, and patient messages.
  • Maintain a welcoming, confidential, and HIPAA-compliant front office environment

Billing & Administrative Support 

  • Verify insurance eligibility, behavioral health benefits, and prior authorization requirements before each appointment
  • Collect copays and outstanding balances; assist patients in understanding their balances
  • Assist with prior authorization paperwork and benefit investigations 
  • Submit clean claims to commercial insurers, Medicare and more.
  • Monitor claim status; follow up on denials, rejections, and underpayments in a timely manner
  • Submit, track and follow-up on claims
  • Maintain accurate patient records and documentation
  • Track non-medical inventory levels; supply purchasing

Qualifications

  • Strong communication skills—professional, warm, and patient-focused
  • Attention to detail and commitment to accuracy in financial transactions and recordkeeping
  • Working knowledge of insurance verification, prior authorization, and claims submission processes
  • Experienced with Google Business Suite (Docs, Sheets, Drive)
  • Familiarity with EHR (Charm, Osmind etc), telehealth platforms, and scheduling systems
  • Prior experience in a medical office or behavioral health setting preferred
  • Experience with Spravato or ketamine clinics is a bonus

Compensation & Benefits

  • Full-time, weekday schedule. 9-5
  • $23-$30 hourly rate, based on experience
