The Data Management Intern is a near-peer role open to young adults ages 18 to 24 who are currently enrolled in or recently graduated from a college or university. This position supports the integrity and day-to-day maintenance of VOX ATL's core data systems, including our constituent relationship management (CRM) database, alumni records, and digital media file library. This is a hands-on, detail-oriented role. You will work directly with the Program Director and staff to keep our data clean, organized, and accessible so that the team can focus on the work that serves teens. Description

Responsibilities 


CRM Database Support

  • Conduct regular data audits to identify and correct duplicate, incomplete, or outdated records
  • Enter and update contact information for donors, partners, volunteers, and community stakeholders
  • Tag and categorize records according to VOX ATL's established contact categories and engagement history
  • Support list pulls and data exports for campaigns, reports, and outreach efforts
  • Flag data quality issues and recommend improvements to data entry protocols


Alumni Database Management

  • Maintain and update the VOX ATL alumni database with current contact information, graduation status, and career updates
  • Research and verify alumni contact information through social media and public channels
  • Support outreach to alumni to gather updated information and engagement preferences
  • Help develop and implement a consistent data entry standard for new alumni records


Media File Management

  • Organize and label digital media assets (photos, videos, audio files) in VOX ATL's file management system
  • Apply consistent naming conventions and folder structures to ensure files are searchable and accessible
  • Archive outdated or inactive files according to VOX ATL's retention guidelines
  • Work with staff to identify and fill gaps in the media archive
  • Flag files that need tagging, captioning, or rights documentation


General Data Operations

  • Participate in weekly check-ins with the Executive Director or assigned supervisor
  • Document processes and create simple how-to guides for recurring data tasks
  • Support the team with data pulls and formatting for grant reports and board presentations
  • Maintain confidentiality and handle all constituent data with care and professionalism


Schedule & Compensation:

  • This is a semester-long internship (Aug. - Dec). 
  • This position averages 10 hours per week.
  • The Data Management Intern must be able to attend weekly planning meetings, VOX Studios training sessions, recording sessions, and events. Additional scheduling will be coordinated with the Program Director 
  • Key Dates Include:
  • VOX ATL Internship Logistics Call - Thursday, August 6, from 5 p.m. to 6:30 p.m. via Zoom.
  • Intern Training (Understanding your role, ambassadorship, media skills, peer editing, and mentorship) - Tuesday, August 11 to Thursday, August 14, from 4:30 p.m. to 6:30 p.m. in the VOX ATL Office.
  • Weekly Intern Meetings - Tuesdays from 4:30 p.m. to 6:30 p.m. (In-person)
  • Skills Sessions - Held two Wednesdays per month from 5 p.m. to 7 p.m. (alternating between virtual and in-person sessions)
  • Production Meetings - Saturdays from 11 a.m. to 2 p.m. (In-person)
  • VOX ATL Open House - Sat. Aug. 15 
  • Studios Media Training - Sat. Sept. 5
  • Winter Showcase - Sat. Dec 12 
  • Intern Close Out - Tue. Dec. 15
  • Additional dates for community events and story assignments TBD 
  • This position will require both virtual and in-person leadership, so the intern should be able to work from the VOX ATL office and community partner locations (transportation to be provided or supported with MARTA fare, parking as needed) 
  • You will track your time using VOX’s time-tracking process; compensation is $12/hour for up to 10 hours per week.


Qualifications:

  • Current enrollment in or recent graduation from a college or university (required)
  • Interest or coursework in data management, communications, nonprofit management, information systems, or a related field
  • Comfort working in spreadsheets and digital file systems; experience with a CRM platform is a plus but not required
  • Strong attention to detail and a systematic approach to organizing information
  • Ability to work independently, meet deadlines, and communicate proactively when issues arise
  • Familiarity with Google Workspace (Drive, Sheets, Gmail)
  • A connection to VOX ATL's mission and the communities we serve
