As the Executive Assistant to the CEO, you will provide high-level administrative and project management support, directly impacting strategic initiatives and organizational success. As the Executive Assistant to the CEO, you will provide high-level administrative and project management support, directly impacting strategic initiatives and organizational success. The ideal candidate will be proactive, organized, and capable of multitasking effectively in a fast-paced environment. Bilingual in English and Spanish preferred but not required.


Responsibilities:


  • Manage the CEO's calendar, schedule appointments, and coordinate complex travel arrangements.
  • Plan and coordinate board of directors meetings, including agenda preparation and distribution of meeting materials.
  • Serve as the liaison for the CEO, facilitating communication and collaboration with the organization's leadership, consultants, and stakeholders.
  • Oversee the CEO's communication, including drafting and reviewing emails, reports, and other correspondence.
  • Assist with project management, ensuring alignment with company priorities and tracking progress toward key milestones.
  • Develop and maintain efficient workflows and processes to enhance productivity and executive efficiency.
  • Support the planning and execution of company-wide events and special initiatives, ensuring alignment with strategic goals.
  • Conduct research and analysis to support business decisions, including competitor assessments and market trends.
  • Prepare high-quality presentations and documents for internal and external meetings.
  • Handle confidential information with the highest level of discretion and professionalism.
  • Anticipate needs and provide proactive support to optimize executive time management and decision-making.
  • Lead and support various ad hoc projects as assigned by the CEO.
  • Assist the CEO with fundraising initiatives, including donor research, strategy development, and follow-up communications.
  • Coordinate and support the development efforts by organizing donor events, managing fundraising calendars, and preparing related materials.


Requirements:


  • Bachelor's degree in business administration or a related field.
  • Proven experience as an executive assistant or in a similar high-level support role (not an entry level job).
  • Exceptional communication and interpersonal skills.
  • Strong organizational and time-management abilities, with meticulous attention to detail.
  • Proficiency in Microsoft Office Suite and familiarity with project management tools.
  • Ability to prioritize tasks and thrive under pressure in a dynamic environment.
  • Strong analytical and problem-solving skills, with a proactive, solutions-oriented mindset.
  • Experience in fundraising and development support is preferred.

Salary

$55,000 - $65,000 per year
