About the Position

We are seeking a friendly, dependable Medical Front Desk Associate to help create a welcoming and efficient experience for our patients. You will greet patients and visitors, answer phones, schedule appointments, maintain patient records, verify insurance, process referrals, and support the daily operations of our medical office.

This position may be a great fit if you are organized, patient, comfortable handling multiple priorities, and enjoy helping people. Previous experience in a medical office, healthcare setting, reception, customer service, or administrative role is helpful.

What You’ll Do

  • Welcome patients and visitors, gather necessary information, and notify staff of their arrival
  • Answer incoming calls, manage voicemail, take accurate messages, and route calls appropriately
  • Schedule and confirm patient appointments
  • Prepare new-patient paperwork, create electronic and paper charts, and assemble patient packets
  • Collect copays and patient payments and assist with daily batch and petty-cash reconciliation
  • Verify insurance coverage and scan insurance cards into electronic patient records
  • Process Tricare, VA Community Care/VA Choice, and other referral or authorization documentation
  • Monitor provider schedules and upcoming appointments to support an efficient daily workflow
  • Use appointment reminder and practice-management systems such as Relatient and Tebra
  • Receive and process incoming referrals, faxes, medical records requests, physician notes, and orders
  • Maintain accurate and confidential patient information in the electronic health record system
  • Perform general office duties, including filing, mail distribution, chart maintenance, and record storage
  • Schedule eligible asthma patients using the Biologics workbook
  • Prepare month-end reports and assist with other administrative projects
  • Help coordinate provider and pharmaceutical representative lunches
  • Keep the reception and waiting areas clean, organized, and welcoming

Qualifications

Required

  • High school diploma or equivalent
  • Previous experience in reception, customer service, administration, or a related position
  • Strong verbal and written communication skills
  • Friendly, professional, and service-oriented approach
  • Ability to listen carefully, solve problems, and remain patient in a busy environment
  • Strong organization skills and attention to detail
  • Ability to protect confidential patient and business information
  • Basic computer skills and the ability to learn new office systems
  • Dependable attendance and punctuality

Preferred

  • Medical receptionist, medical front office, patient access, or healthcare administration experience
  • Experience with electronic health records or practice-management software
  • Experience scheduling medical appointments and verifying insurance
  • Familiarity with referrals, prior authorizations, Tricare, or VA Community Care
  • Experience with Tebra, Relatient, or similar healthcare software
