Description

Via Collective is an award-winning wayfinding strategy and design firm that is looking for a Marketing & Proposals Manager to lead the internal engine behind our growth — pipeline, proposals, and brand presence — in the AEC (architecture, engineering, construction) industry.

This is primarily an internally-facing role: you'll own our CRM and pipeline data, lead the full proposal process from research through submission, maintain our proposal library and market intelligence, and keep our content and digital presence sharp — while our Principal and Project Director carry the external client relationships and conference representation that your research and coordination make possible.

You'll also coordinate teaming partnerships with other AEC firms on joint pursuits — the one part of this role with regular outside contact. If you're the person who makes a competitive RFP process run like clockwork, keeps a CRM honest, and can turn market research into a clear recommendation for leadership, this role gives you real ownership over how a well-established niche firm operates and grows.

Key Responsibilities

Market Research & Intelligence

  • Identify prospective clients, market trends, and emerging opportunities within target sectors through ongoing research.
  • Maintain a current view of relevant federal, state, municipal, and institutional procurement activity relevant to wayfinding scopes.
  • Develop speaking and presentation opportunities to execute thought leadership strategies and coordinate logistics for leadership attendance at industry events.
  • Report on pipeline activity, prospect engagement, and market intelligence at company-wide meetings.

Proposal Management

  • Manage the full proposal process from identification through submission, coordinating technical input, writing, formatting, and managing on-time delivery.
  • Develop comprehensive proposal strategies including coordination of teaming partners.
  • Lead go/no-go research and prepare recommendations for leadership's review.
  • Maintain the proposal library including case studies and team resumes.

CRM & Pipeline Management

  • Own the CRM platform end-to-end to ensure ongoing data integrity and set data entry standards.
  • Analyze CRM data and synthesize market intelligence to actively inform business development strategy.
  • Maintain up-to-date pipeline records, including opportunity stages, probabilities, and values.
  • Produce regular pipeline reporting for leadership to track win rates and ROI over time.

Project Promotion & Awards

  • Coordinate professional photography of completed projects to build a high-quality visual asset library.
  • Manage project launches across all external channels to maximize visibility and impact.
  • Identify relevant awards programs and coordinate submission of entries.
  • Develop, design, and manage internal marketing communications and materials within the Via Collective brand.

Marketing & Digital

  • Contribute to quarterly content strategy planning with leadership and the Creative Director.
  • Produce the monthly eNewsletter and manage social media channels, a rolling content calendar, and execute thought leadership campaigns.
  • Develop and maintain pitch decks, client presentations, and marketing collateral for leadership outreach.
  • Perform quarterly reviews and updates to the company website to ensure content alignment with current positioning.

Qualifications:

  • Experience: 5-8 years of experience in marketing, proposal management, or business development support within wayfinding, architecture, engineering, or construction
  • Education: A Bachelor's degree in Business, Marketing, Architecture, Engineering, Construction Management, or a related field
  • Technical Knowledge: A track record of owning the proposal process end-to-end and navigating procurement, owning a CRM platform (Nimble, HubSpot, Salesforce, or similar) as a system of record
  • Skills: Strong communication, writing, editing, and visual storytelling skills,

Requirements

  • High attention to detail with a solution-driven mindset.
  • Ability to manage multiple projects and meet deadlines.
  • Excellent written and verbal communication skills.
  • Willingness to adapt and respond to changing project needs.
  • Experience with marketing tools (Mailchimp, Sprout Social, Instagram, etc) and proficiency in Microsoft Office, InDesign/Adobe Creative Suite; working knowledge of Canva
