In this role, your responsibilities will include (but are not limited to):
Calendar Management:
- Schedule and manage appointments, meetings, and events.
- Coordinate schedules across different time zones.
- Proactively address and independently resolve scheduling conflicts.
Email and Inbox Management:
- Organize and maintain the executive’s inbox.
- Draft, review, and send communications on behalf of the executive.
- Implement and manage a folder system to ensure emails are categorized and easily accessible.
- Regularly update and maintain the folder system.
Client Notes and CRM Management:
- Add client notes and status updates into Salesforce.com or other CRM systems.
- Ensure all client information is accurate and up-to-date.
- Generate and distribute client-related reports as needed.
Travel Coordination:
- Arrange domestic and international travel, including flights, accommodations, and ground transportation.
- Prepare travel itineraries and ensure all travel documents are in order.
- Address any travel-related issues promptly.
Event Coordination:
- Plan and coordinate events, including meetings, conferences, and virtual events.
- Manage event logistics, including venue booking, catering, and equipment setup.
- Virtually attend events and meetings to take notes and record key action items.
Meeting Support:
- Attend department meetings virtually to take notes.
- Record and distribute minutes of meetings.
- Manage tracking of follow-up on key action items and tasks to ensure completion.
Ad Hoc Tasks:
- Serve as a key liaison between the executive and applicable colleagues/clients.
- Creation of presentations, reports, etc for internal and external distribution.
- Prepare, reconcile and submit expense reports as needed.
- Perform various administrative tasks as assigned by the Principal/Managing Director.
- Provide support on special projects and initiatives.
Required Skills and Qualifications:
- Bachelor’s degree preferred but not required.
- Minimum of 3-5 years of experience as an executive assistant or in a similar role.
- Highly proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Experience with virtual meeting platforms (e.g., Zoom, Microsoft Teams).
- Familiarity with Salesforce.com is a strong advantage.
- Must be located in the US, PST time zone only
