Position Summary

The Project Coordinator / Assistant Estimator supports both our preconstruction and project management teams by helping keep projects organized from bid through closeout.

Key Responsibilities

Estimating & Preconstruction

  • Assist in preparing conceptual budgets and detailed cost estimates.
  • Prepare and distribute bid packages to subcontractors and suppliers.
  • Solicit, collect, organize, and compare subcontractor and vendor proposals.
  • Review subcontractor bids for completeness, accuracy, and compliance with project requirements.
  • Compare bids and identify scope gaps, exclusions, overlaps, and inconsistencies.
  • Follow up with subcontractors to ensure adequate scope coverage and competitive pricing.
  • Assist in leveling bids and preparing bid comparison spreadsheets.
  • Review plans, specifications, addenda, and bulletins for scope changes.
  • Maintain bid logs, estimating files, and subcontractor databases.
  • Assist with budgeting and value engineering efforts.
  • Assist in developing project budgets, estimate summaries, and owner proposals.
  • Maintain organized estimating files, historical cost data, subcontractor databases, and bid documentation.
  • Support preconstruction schedules and milestone tracking.


Project Coordination

  • Assist with subcontractor buyout and scope review.
  • Coordinate project handoffs from estimating to operations.
  • Draft subcontract agreements, purchase orders, and scope exhibits.
  • Track subcontract execution, insurance certificates, bonds, and compliance documentation.
  • Support project startup and kickoff activities, including preparing project binders, safety manuals, SWPPP documentation, contact lists, and other project startup requirements.
  • Assemble and maintain project-specific safety documentation, emergency contact information, and required compliance records.
  • Assist with project setup in Procore, including directory, commitments, project folders, document control, and workflow configuration.
  • Coordinate procurement of long lead-materials and maintain procurement logs
  • Manage project documentation, including:
  • Meeting minutes
  • Project correspondence
  • Drawing revisions
  • Assist with RFIs
  • Assist with Submittals
  • ASIs
  • Coordinate document control through Procore and internal filing systems.
  • Assist with subcontractor change orders and pricing requests.
  • Assist with the preparation of owner pay applications, review subcontractor applications for payment, verify required supporting documentation, track lien waivers and compliance items, and coordinate timely invoice processing.
  • Compile project closeout documents, warranties, O&M manuals, and as-built documentation.


Team Support

  • Attend project meetings and distribute meeting minutes.
  • Help maintain organized project files and documentation.
  • Provide administrative support to the construction team as needed.
  • Assist with additional duties that contribute to successful project delivery.


Qualifications

Required

  • 1–3 years of experience in commercial construction, estimating, project coordination, or construction administration preferred (entry-level candidates with the right attitude are encouraged to apply).
  • Strong organizational skills with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Effective communication skills for coordinating between teams and managing multiple priorities efficiently.
  • Strong time management skills with the ability to balance multiple projects in a fast-paced environment.
  • Detail Oriented
  • Ability to prioritize work independently while meeting deadlines.
  • Proficiency in Microsoft Office, including Excel, Outlook, and Word.
  • Valid driver's license.


Preferred

  • Experience with Procore, Bluebeam, or similar construction software.
  • Experience reading construction drawings and specifications.
  • Familiarity with subcontract administration, RFIs, submittals, change orders, and project documentation.
  • Familiarity with AIA or ConsensusDocs contracts.
