HR & Executive Assistant

Who We Are

We at Vermont Gaming Academy love what we do. We have three locations spanning two states, with over ten full time employees that enjoy some aspect of nerd culture. Games are not only our business but our hobbies. We’re not trying to be corporate, but we do need rules and objectives. That’s where you come in! We work hard, have fun, and care about building a workplace you want to come back to, and we want your help in continuing that.

The Role

This is a dual function position; Human Resources, and Executive Assistant. The former goals will include keeping our HR documents in order, making sure compliance and insurance obligations are fulfilled, and being an approachable resource for members at all three locations. The latter's goals will include working directly with store leads to check for streamlining processes, making sure recurring tasks are being completed, and supporting team members gaining independent function when necessary. This role is in-office, with regular travel between all three locations, so reliable personal vehicle is necessary.

If you’re the kind of person who likes variety in your day, takes ownership without needing to be asked twice, and can be both the person who fixes a process and can support a teammate, this could be the place for you.

What You’ll Do

Human Resources

  • Draft, maintain, and update HR documentation- policies, procedures, handbooks.
  • Be a knowledgeable, approachable point of contact for employees across all three locations.
  • Keeping the company compliant with Vermont, New York and federal employment laws, staying ahead of changes so they don’t become problems.
  • Manage business insurance, workers’ compensation, and other compliance-driven renewals and deadlines.
  • Maintaining employee records, onboarding documents, personal files, etc.
  • Support employee relations including conflict resolution, performance documentation, and policy consistency.

Executive Support

  • Monthly task items, proactive follow-through, creating ‘can do’ atmosphere to push independent task fulfilment.
  • Identify process inefficiencies and bringing potential solutions.
  • Manage scheduling, correspondence, and follow-ups on behalf of leadership.
  • Prepare reports, meeting materials, and internal communications when needed (financial reports, staffing reports).
  • Serve as a reliable connection between leadership and staff across all locations.

What We’re Looking For

Required

•      2+ years in HR, executive support, or a combined administrative role

•      Solid grasp of HR documentation, employment compliance, and process writing

•      Experience managing insurance or compliance-related administrative responsibilities

•      Highly organized with a track record of managing multiple priorities independently

•      Strong communicator — equally comfortable supporting a frustrated employee and briefing a busy leadership team

•      Trustworthy and discreet with sensitive personnel matters

•      Reliable personal vehicle, valid driver’s license, and willingness to travel between VT and NY locations

•      Proficient in Microsoft Office and Google Workspace

Nice to Have

•      Associate’s or Bachelor’s degree in HR, Business, or a related field

•      PHR, SHRM-CP, or other HR certification

•      Experience in a multi-location organization

•      Familiarity with Vermont and New York employment law

Who Thrives Here

You don’t need to be a gamer to do this job well, but you should be someone who appreciates a workplace where people are enthusiastic about gaming, and be willing to learn what makes this place tick. We value people who say what they mean, do what they say, and treat their teammates well. Both positions require a minimum monthly visit to our Plattsburgh and Rutland location. All other hours are in person at the South Burlington location.

This role works best for someone who’s self-directed and takes pride in doing things right, not just because someone is watching, but because that’s just how they operate.

What We Offer

•      Competitive salary based on experience

•      Paid time off

•      Generous employee discount and first access to items in the store

•      Mileage reimbursement for business travel

•      A close-knit team with a real identity that scales as we do

•      A workplace where your work will make a visible difference
