CHARACTERISTICS OF THE POSITION:  


The DMEPOS Specialist manages Durable Medical Equipment, Prosthetics, Orthotics and Supplies (DMEPOS) orders end-to-end, from intake and documentation through fulfillment, billing, and follow-up. The role ensures that every order is processed accurately, timely, compliantly, and in a manner that supports an excellent patient and customer experience. The Specialist reviews Standard Written Orders (SWOs) and patient clinical records for compliance, maintains audit-ready documentation, coordinates delivery and patient support, and partners closely with Sales, Customer Service, and internal teams to keep active accounts and patient orders moving smoothly. The ideal candidate is detail-oriented, patient-focused, and comfortable working cross-functionally with Logistics, Sales, Relationship Managers, and Systems Development to deliver a seamless experience for patients and providers.


ESSENTIAL DUTIES:

• Manage DME orders end-to-end, including intake, documentation, review, fulfillment, billing, and follow-up.

• Provide order status updates and support timely, accurate order flow across the DMEPOS workflow.

• Review and process Standard Written Orders (SWOs) to ensure compliance with wound conditions, product requirements, LCDs, CMS, and audit standards.

• Identify and resolve documentation gaps or discrepancies before fulfillment.

• Maintain accurate, complete, and audit-ready documentation; stay current on DMEPOS regulations, payer requirements, and process changes. Apply updates to daily work.

• Manage credentialing and enrollment with insurance payors, including completing applications and revalidations and maintaining active payer credentials.

• Coordinate DMEPOS delivery, pickup, and patient training; provide clear and responsive support to patients and caregivers regarding product use and questions.

• Serve as a primary contact for routine patient, provider, distributor, and internal inquiries; troubleshoot issues and escalate as appropriate.

• Collaborate closely with Sales, Customer Service, and internal teams to support active accounts, patient orders, and timely delivery.

• Support pricing communication, order status updates, and accounts receivable accuracy related to DME orders.

• Perform administrative tasks, participate in trainings and meetings, and identify opportunities to improve workflows, accuracy, and patient experience.

• Other duties as assigned.


RELATED DUTIES:  

• Participate in product launches, training initiatives, and sales meetings.

• Provide feedback from the field to leadership regarding product performance, customer needs, and competitive intelligence.

• Support onboarding of new accounts and transitions of existing accounts as needed.

• Collaborate with marketing and leadership on account-specific initiatives or pilots.



MINIMUM QUALIFICATIONS:

Training and Experience

• Minimum of 3+ years of experience in DMEPOS wound care, medical logistics, DME or related field.

• Working knowledge of DMEPOS order processing and documentation, SWO requirements, LCDs, and CMS/payer compliance.


Education

• Associate’s degree in Business, Healthcare Administration, Life Sciences, or a related field preferred, or combination of related experience.


Knowledge, Abilities and Skills

• Strong attention to detail and ability to maintain accurate, audit-ready records.

• Effective communication skills with patients, providers, and internal teams.

• Excellent organizational and time-management skills for handling multiple orders and priorities while meeting delivery and compliance standards.

• Ability to troubleshoot routine issues and escalate as needed.

• Proficiency with electronic documentation systems and office software.


PHYSICAL REQUIREMENTS:

• Ability to sit, stand, and walk for extended periods of time.

• Manual dexterity sufficient to operate standard office equipment and technology.

• Ability to lift up to 25 pounds as needed.


Working Conditions

• Remote. Private home office with reasonable internet access is expected. (Potential travel to and work from the Montana office)

• Monday – Friday, 8:30am – 4:30pm MT. The schedule may change depending on the company's needs.
