About The Role:


We have an extraordinary opportunity for someone to join our team in the Dallas office as the Executive Assistant to the Managing Partner. This is a varied role for someone who thrives in a rewarding and challenging role; and who will enjoy providing both professional and personal support for the Managing Partner. Even more importantly, we are looking for someone who has a keen interest in law, and who will be excited and disciplined to learn the inner workings of the firm, ultimately supporting the Managing Partner to spearhead projects that will contribute to the success of the firm’s partners and employees. 


This candidate must be an excellent multitasker with great communication skills who works diligently under pressure. We are looking for someone who can be flexible with hours and will be available after standard office hours as needed. In return, you will have great exposure to all aspects of our business, and this role can be used as a springboard to develop your career within other functions at Vela Wood.



Key responsibilities will include:


  • Managing business calendars and personal calendars for the Managing Partner, ensuring seamless coordination
  • Planning and scheduling travel itineraries for business development trips
  • Providing administrative support: filing documents, responding to emails, legal research, drafting form documents, client intake specific to the Managing Partner, document review, and various other tasks
  • Organizing meetings both internally and externally, including scheduling, sending reminders, and assisting with firm events when necessary
  • Running personal errands
  • Taking initiative to understand the intricacies of our business and ancillary projects, assisting in strategy, prioritization and planning
  • Helping the Managing Partner to set and track board meetings and board level initiatives
  • Demonstrating poise and professionalism in client development situations, including dinners, events, and conferences


Basic Qualifications:  


  • Minimum of 7 years experience working as an Executive Assistant in a high-paced environment or in a similar role supporting a C-level executive
  • Working knowledge and high proficiency in Microsoft Office & Google Suite
  • High level of discretion and professionalism when handling confidential information
  • High level of diplomacy and integrity
  • Strong organizational, multitasking, planning, and time-management skills, with the ability to prioritize tasks without direct supervision
  • Ability to manage multiple priorities, projects and display flexibility in a fast paced and changing work environment
  • Tech-savvy and adaptable, comfortable using business software and systems to improve efficiency
  • Exceptional attention to detail, with a focus on accuracy and quality
  • Ability to quickly learn new software and systems
  • Excellent written and verbal communication skills
  • Proactive with the ability to take initiative.
  • Ability to travel approximately six times a year, one-two nights per trip
