About The Role:
We have an exciting opportunity for someone to join our team in Dallas as the Billing Analyst. This role reports into the Director of Billing and will engage in strategic collaboration with our internal stakeholders. This pivotal role significantly influences the firm's financial stability and client relationships by ensuring the alignment of billing team operations with overarching business objectives. Acquire critical operational acumen and capitalize on this opportunity for professional growth within Vela Wood.
Key responsibilities will include:
- Weekly review of the time entries made by staff in our billing system
- Collections activities, including but not limited to creation and maintenance of reporting, and communication with clients and collection support vendors
- Create ad hoc reports including attorneys’ hours and other Finance projects
- Monitor and respond to emails to the billing team
- Respond to client requests for items such as W-9s, invoice inquiries, retainer balance confirmations, and updates to billing contacts
- Research client billing issues as directed by the Director of Billing
- Aid with preparation and distribution of client bills
- Maintain billing notes in the appropriate systems
- Reconcile client retainer balances
- Update daily cash balance reporting
- Calculate a variety of split-fee arrangements
Basic Qualifications:
- High School Diploma or equivalent required
- Minimum 1 years’ experience within a corporate operations environment
- Relevant billing and collections experience in a professional services environment preferred
- Working knowledge of Google Workspace and Microsoft Office, particularly Excel as well as online document editors and online spreadsheets such as Google Sheets
- Ability to work within a complex and constantly changing, fast-paced, demanding work environment
- Strong organizational, planning, and analytical skills as well as excellent written and verbal communication skills
- Exceptional attention to detail, with a focus on accuracy and quality
- Ability to quickly learn new software and systems
- Strong aptitude with numbers, can spot trends and errors with ease
- Proactive, communicative, and self-motivated, with the ability to take on tasks that may be outside of current responsibilities, including stepping in to assist colleagues
