Position Description:

The Admin Assistant’s role is primarily an assistant position to the Property Management team with a strong emphasis on attention to detail, organization, meeting deadlines and achieving results. In this role, your primary focus will be to concentrate on supporting the back end of the property management team and the company at large. This may include but is not limited to; scanning and entering invoices and bills in the software; create, organize, and audit company files, documents, and records; deliver or pick up different documents or items to tenants or clients and various projects such as putting together welcome baskets. To be successful in this position, the candidate must be able to learn quickly, demonstrate strong attention to detail and possess organizational, multi-tasking and communication skills. Basic computer skills and intermediate to advance proficiency of Microsoft programs is also required.


The role of the Admin Assistant is crucial during this stage of the company’s growth. As a boutique property management company, the company will rely heavily on this position as a key component in its day-to-day operations. In this role, you will also be collaborating close in hand with the property management team, bookkeeper and the CEO/Owner to make sure back end administrative items are organized in coherence with the companies policies.  We are looking for individuals who not only want to develop more experience and skills in the property management industry, but those who will be a team player with integrity. Although this position is spare-time, more hours can be added. We are also looking to build a long-term relationship with the right candidate who is interested in career progression within the company.

 

Location: Primarily in our office in Northgate, with some time at our offices in Lynnwood and Everett

Hours: Spare time (15-20 hours a month), Semi-Flexible schedule with required weekly meetings/check-ins

Salary: $250 MIN stipend Hourly ($16-$19 per hour) + gas stipend + performance based bonuses

Duties:

Duties will include, but not limited to:

·        Reviews and enters invoices from vendors, contractors, and service providers into software program.

·        Ensure all insurance programs are up to date, including both residential and commercial tenants, as well as property owners.

·        Maintain physical and electronic office files and records. Perform file and key audits. Report any discrepancies to the Property Management team.

·        Organize keys, remotes and other items. Track supplies needed for the office

·        Pick up, or drop off various items such as documents, checks, or keys. Occasionally post notices.

·        Assist in assembling and delivering welcome baskets for tenants

·        Support the Property Management with all written communication that are in compliance with Umano policies, procedures, and business practices.

·        Other tasks, duties and projects as directed by the CEO/Owner



 

Qualifications:

·        Strong English skills including reading, writing and speaking

·        Basic computer skills and above average 35-40 wpm

·        Proficiency of O365 programs, particularly Word and Excel. Also, Adobe Pro

·        Access to high speed internet and up-to-date laptop or desktop

·        Demonstrated mathematical skills

·        Ability to multi-task, prioritize work and problem solve independently 

·        At least 18 years old


Preferred qualifications

·        Experience in administration and/or customer service

·        Experience in Property Management software programs including Buildium and Lead Simple
