Position Overview: We are seeking a highly organized and detail-oriented Conference Program Manager to join our dynamic team. This role will be responsible for supporting the planning, coordination, and execution of client meetings, conferences, and events. The ideal candidate will have a strong background in event management and be able to handle multiple projects simultaneously.


Key Responsibilities:


Event Planning and Support:

  • Assist in conference planning activities and manage assigned project elements
  • Collaborate with team members to determine objectives and requirements for meetings and conferences
  • Create and maintain event documentation, including meeting minutes, weekly reports, and post-conference client reports
  • Help manage sponsorship opportunities and planning
  • Prepare documents for onsite operations 

Logistics Coordination:

  • Coordinate event logistics, including accommodations, transportation, facilities, catering, and signage
  • Assist in managing registration of event participants, including set-up, room block management, and activity tracking
  • Handle orders and shipments of event supplies and promotional items

Vendor and Budget Support:

  • Research potential vendors and assist in the contract finalization process
  • Support the development of programs, agendas, and budgets according to client requirements
  • Help review event bills for accuracy and process payments

On-site Execution:

  • Work on-site for assigned events, supporting day-of logistics and troubleshooting issues
  • Act as a liaison between vendors, Type A Events, attendees, and clients for logistical operations and support

Continuous Improvement:

  • Keep a pulse on current industry trends through continued training and research
  • Participate in cross-training opportunities


Qualifications:

  • Bachelor's degree in Event Management, Hospitality, or related field
  • 2+ years of meeting planning experience
  • Understanding of the travel industry, hotel chains, and meeting industry terms
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication abilities
  • Proficiency in Google Suite and database systems
  • Ability to travel and work on-site for programs, including some weeknights and weekends
  • Capable of lifting and moving up to 50 pounds
