Overview

The Tucson Industrial Authority and Groundswell Capital, its 501(c)3 nonprofit organization, are committed to fostering an equitable, innovative, and sustainable future for our community. We are seeking a detail-oriented Administrative Assistant to provide critical support in accounting, board administration, and executive-level tasks. This is a part-time position with flexible scheduling, based near downtown Tucson with free onsite parking.


Job Summary

The Administrative Assistant will work closely with our accounting firm, Board of Directors, and executive team to ensure smooth operations across multiple areas. This role is ideal for someone with a strong background in accounting assistance and excellent organizational skills.


Key Responsibilities

1. Accounting Assistance: Collaborate with the accounting firm to ensure accurate coding of expenses and timely fulfillment of invoices. Utilize QuickBooks and Bill.com to manage financial records and transactions. Prepare and organize financial reports for review.

2. Board Administration: Serve as a liaison for two Boards of Directors, ensuring clear communication and coordination. Plan, schedule, and facilitate board meetings, including preparing agendas and taking meeting minutes. Ensure compliance with Arizona Boards & Commissions regulations.

3. Executive Assistant: Provide administrative and organizational support to the CEO and EVP. Manage schedules, arrange meetings, and handle correspondence. Perform other tasks as assigned to support executive-level operations.


Required Qualifications

Experience with QuickBooks and Bill.com for financial tracking and reporting. Strong organizational skills and attention to detail. Proficiency in Google Workspace (Docs, Sheets, Slides, etc.). Ability to manage multiple tasks efficiently with minimal supervision.


Preferred Qualifications

Experience supporting Boards of Directors or willingness to learn. Prior experience in nonprofit or government sectors.


Work Environment & Schedule

This position is based in person near downtown Tucson (free onsite parking provided). Flexible schedule: 20 hours per week, with options for daily work or a 3-day-per-week arrangement.


Compensation & Benefits

Hourly pay of $18-24/hour, based on experience. PTO provided.
