Position Overview: We are seeking a detail-oriented and proactive Office Administrator to join our team. The Office Administrator will be responsible for executing the daily administrative operations of the company, ensuring smooth and efficient functioning of all office-related activities. This role requires excellent organizational skills, the ability to multitask, and a keen eye for detail. The goal of this position is to free up company management to focus on company growth and big projects & initiatives that will push the company forward.


Key Responsibilities:

  • Financial / Admin Support:
  • Oversee payroll processing and workers' compensation payroll uploads
  • Manage customer billing and accounts receivable 
  • Review expenses, send to our bill payment system, and ensure all expenses are getting tagged to a job
  • Help manage company’s equipment log - ensure all details are correct, new equipment is added, sold equipment is removed, and also manage any necessary registrations and insurance reporting
  • Onboarding subcontractors - collecting W-9s, insurance, and setting them up in bill payment system
  • Customer and Growth Activities
  • Handle inbound sales inquiries and vetting potential clients
  • Provide regular updates to customers about job progress and scheduling updates
  • Manage and resolve customer concerns promptly and professionally
  • Execute surprise and delight activities for customers, such as sending cards for anniversaries and special occasions
  • Monitor local Facebook groups for job opportunities
  • Operations / Job Support
  • Taking photos of the team for marketing purposes
  • Notifying Digsafe and filing any permits whenever necessary
  • Human Resources / Team Support:
  • Help move candidates through recruitment process and assist with new employee onboarding - collecting I-9s, helping set-up direct deposit
  • Schedule bi-annual employee check-ins
  • Take notes during meetings 
  • Plan and organize company events and employee get-togethers
  • Help team members feel more valued - i.e.a card and a little treat on anniversary dates
  • Additional Responsibilities and Opportunities
  • THS operations are closely intertwined with a local property management company, called Pothos Stays, and the position would also be supporting Pothos Stays


Please note that we do not expect the Office Administrator to be able to handle all of these responsibilities immediately. The idea would be to gradually grab more of these responsibilities and tasks over time. 


Qualifications & Desired Qualities:

  • Strong organizational and multitasking skills
  • Excellent communication and interpersonal abilities
  • Familiarity with general business admin procedures 
  • Comfortability using software such Google sheets, docs, and gmail
  • Ability to work independently and as part of a team
  • Reliable, hard-working, and detail-oriented
  • Previous experience in an office admin role is preferred
  • Any knowledge of accounting and finance is a huge plus
  • Construction and or property maintenance experience is a plus
  • All candidates will be required to go through a background check


Compensation:

  • Full-time W2 position with competitive salary based on experience

  • Compensation range is $22-26 / hour - exact pay rate will be based on experience


Position would start in late July / early August.
