Primary Job Responsibilities:
- Assist healthcare providers in delivering patient care services in a fast-paced urgent care and primary care clinic setting.
- Greet and prepare patients for examination, taking vital signs, documenting medical history, and chief complaints.
- Perform various clinical tasks, such as collecting and processing laboratory specimens, performing EKGs, and administering medications under the direction of healthcare providers.
- Prepare examination rooms, ensuring cleanliness, organization, and availability of necessary supplies and equipment.
- Assist and/or perform minor procedures, wound care, and splinting as trained, following appropriate protocols and maintaining infection control measures.
- Coordinate patient flow, ensuring timely triage, and efficient scheduling of appointments and procedures.
- Communicate with patients, providing instructions, education, and answering questions regarding treatment plans, medications, and follow-up care only as instructed by providers. No advice or personal interpretation given outside of the provider notes.
- Document patient information accurately and comprehensively in electronic health records (EHR) and assist with medical coding and billing processes.
- Handle administrative tasks, including answering phone calls, verifying insurance for primary care, maintaining patient records, completing medical record requests, and notifying patients of lab and imaging results after provider review and notation.
- Collaborate with the healthcare team to ensure seamless coordination of care, effective communication, and smooth clinic operations.
- Adhere to established policies, protocols, and regulations, while maintaining patient confidentiality and upholding ethical standards.
- Assist in maintaining inventory and ordering medical supplies, ensuring availability and proper storage.
- Participate in training and professional development activities to enhance knowledge and skills.
- Handle urgent and emergent situations calmly and effectively, following appropriate protocols and seeking assistance when needed.
- Maintain a professional and compassionate demeanor when interacting with patients, families, and colleagues.
- Performs other related duties as directed or required.
Education: High school diploma or general equivalency diploma (GED). Diploma as a medical administrative assistant from an accredited medical vocational course preferred; however willing to train on the job. CMA, CCMA, or CAMA certification a plus.
Experience: Minimum one year of administrative assistant experience in a medical office setting and/or Medical Assistant Course completion.
Performance Requirements:
Knowledge:
- Knowledge of medical terminology and office procedures.
- Knowledge of grammar, spelling, and punctuation to type from draft copy and review and edit reports and correspondence.
- Knowledge of basic arithmetic to make calculations, balance and reconcile figures, and make changes accurately.
Skills & Abilities:
- Clinical skills: Proficiency in performing basic medical procedures such as taking vital signs, administering injections, conducting EKGs, assisting with minor surgical procedures, and performing basic laboratory tests.
- Patient care and communication: Strong interpersonal and communication skills are crucial to interact effectively with patients, making them feel comfortable and assisting them in understanding their conditions, treatment plans, and medication instructions.
- Electronic Health Records (EHR): Familiarity with EHR systems and the ability to accurately document patient information, update medical histories, and schedule appointments is vital for efficient practice management.
- Medical knowledge: A solid understanding of medical terminology, anatomy, and physiology is important to assist healthcare providers during patient assessments and treatments. It helps medical assistants to recognize and report abnormal signs or symptoms to the providers promptly.
- Organization and multitasking: Medical assistants in urgent and primary care settings often juggle multiple tasks simultaneously. Being organized, detail-oriented, and capable of managing time effectively are valuable skills to ensure smooth patient flow and operational efficiency.
- Administrative skills: Medical assistants may be responsible for administrative tasks such as appointment scheduling, insurance verification, medical billing, and maintaining patient records. Proficiency in these areas contributes to the overall functioning of the practice.
- Emergency preparedness: Given the urgent care aspect, medical assistants should be trained in basic life support (BLS) and be prepared to respond to medical emergencies promptly and appropriately until further help arrives.
- Performs other related duties as directed or required.
Equipment Operated: Office machinery including phones, computers, fax, dictating machine, calculator, and photocopier. Medical equipment including testing machinery, carts, trays, EKG, and others as necessary.
Physical Requirements: Medical staff should be prepared to work in a fast-paced environment and handle high-pressure situations efficiently. Medical staff may need to perform physically demanding tasks, such as assisting patients with mobility, transferring patients to examination tables, or helping with minor surgical procedures. This can involve prolonged standing, bending, and lifting. Medical staff in urgent care often encounter patients with acute illnesses, injuries, or emotional distress. Dealing with such situations can be emotionally challenging and may require empathy, compassion, and the ability to manage stress effectively.
Work Environment: Medical office, well lighted, well ventilated. All staff are expected to keep their work areas clean and free of clutter, as well as maintaining the break room by cleaning up after themselves, and occasionally serving one another by cleaning surfaces, putting dishes away, etc.

Position Wage and Benefits:
Part-time hourly position available. Starting at $17 (depending on certification/experience) with the opportunity for growth based on merit and benchmarks with the company.
