Overview:

Our Operations Associate will help keep transform.forward’s internal systems running smoothly and help us build better ones. This role centers on operational execution, including reconciling accounts, managing invoicing, and maintaining the physical and digital systems that support our client-facing work, as well as occasional in-person time for inventory management and material prep. This is a strong fit for someone who wants ownership of how a process works, not just someone to follow steps designed by someone else.


Because this role includes visiting the office (the founder's home in Boulder) roughly 1-2 times per month to prepare client on-site materials, manage inventory, and handle other physical tasks, we're looking for candidates located within a reasonable proximity to Boulder, CO.


Please note: this is currently a part-time role, and we're looking for candidates specifically seeking part-time work at this time. Much of the work offers flexibility in when it's completed, so you're welcome to hold other employment alongside this role.


About the Associate Level:

This role suits someone with hands-on experience managing recurring administrative or financial processes, ideally including basic bookkeeping or reconciliation work, who's comfortable being handed an unstructured area (like inventory) and building a workable system for it. You don't need a background in formal operations management, but you should be comfortable owning a process end-to-end rather than just executing steps someone else designed.


This role reports directly to the CEO & Founder. This is not a personal or executive assistant position. The focus is on company operations, not managing the CEO's calendar, personal errands, or day-to-day tasks. You'll be given clear direction and support from leadership, with room to bring your own judgment to how to execute tasks.

Key Responsibilities:


Systems & Process Building 

  • Design and maintain process systems for recurring operational needs (e.g., inventory tracking, supply reordering, file organization) 
  • Conduct routine audits of outdated files, folders, and links 
  • Manage user access and permissions in tools like Asana, Slack, and HubSpot 
  • Create new project folders and shared file structures using templates 
  • Help maintain internal documentation such as org charts and SOPs 
  • Submit help desk tickets or vendor follow-ups when needed


Financial Operations & Billing 

  • Perform monthly reconciliations of credit card statements against receipts and budget documentation 
  • Track invoice status and send client payment reminders 
  • Create and send client invoices and quotes using standard formats
  • Enter transaction summaries into Wave or other financial tools 
  • Pull monthly financial and invoice summaries for review 
  • Prepare templates for proposals and contracts using boilerplate 
  • Check proposal attachments and links for accuracy before submission


Inventory & In-Person Operations (Boulder area) 

  • Maintain inventory of physical supplies and facilitation materials (e.g., workshop kits, printed materials, event supplies) 
  • Visit the office (the founder's home in Boulder) roughly 1-2 times per month to handle physical tasks: organizing inventory, prepping materials ahead of client engagements, and restocking supplies 
  • Run local errands as needed (e.g., picking up printing, purchasing supplies); mileage for these errands is reimbursed per company policy 
  • Flag supply needs proactively so materials are ready before they're needed


Scheduling & Coordination 

  • Help manage internal team calendars, including planning days and milestones 
  • Maintain shared documents such as campaign timelines or project checklists 
  • Set up scheduling polls and coordinate virtual availability for project work


Communications & Content 

  • Support formatting and send templated client emails or follow-ups 
  • Upload, tag, and organize content in Google Drive using SOP standards 
  • Proofread and schedule posts across platforms like the Blog, LinkedIn, or Facebook 
  • Support formatting of proposals or slide decks in Canva
  • Conduct light research tasks (e.g., upcoming RFPs, client backgrounds)


Culture & Internal Engagement 

  • Track team birthdays, anniversaries, and celebration moments 
  • Help coordinate small appreciation gestures or virtual team activities 
  • Maintain staff bios, contact info, and visual directories


Minimum Qualifications:

  • 1-2+ years of experience in an admin, operations, or bookkeeping-adjacent role 
  • Located within reasonable proximity to Boulder, CO, and able to visit the office 1-2 times per month for physical tasks
  • Prior experience managing recurring administrative or financial processes (internships or part-time roles acceptable) 
  • Comfort with basic financial tasks such as reconciliations and invoicing, or strong eagerness to learn them quickly 
  • Comfortable owning an unstructured area of work and building a system for it, rather than only following existing steps 
  • Strong attention to detail and ability to follow through independently 
  • Proficiency in Google Workspace (Docs, Sheets, Drive, etc.) 
  • Strong organizational skills and ability to manage multiple responsibilities, including physical materials 
  • Professional written communication skills 
  • Access to a computer with reliable internet
  • Access to a reliable personal vehicle for occasional local pickup of supplies and materials


Preferred Qualifications:

  • Direct experience with bookkeeping basics, reconciliations, or invoicing 
  • Familiarity with tools such as Asana, Canva, Slack, HubSpot, or Wave 
  • Experience managing physical inventory or materials for events or programs 
  • Process-oriented mindset with a natural inclination for building and improving systems 
  • Ability to anticipate next steps or needs with minimal prompting 
  • Experience in consulting organizations or small business settings


Working Conditions:

This is a hybrid, part-time W-2 position starting at approximately 10-15 hours per week, with potential to grow as the role and workload develop. Most work is remote, with in-person time (roughly 1-2 times per month) at the founder's home office in Boulder for inventory and material prep. Candidates should be based within a reasonable distance of Boulder, CO. Hours are flexible and will be agreed upon with your manager based on project needs and your availability.
