Top Aid Healthcare is seeking a personable and organized Receptionist/Administrative Assistant to join our team. This role is essential in maintaining smooth office operations and ensuring that our patients and staff are well-supported. The ideal candidate will be a strong communicator with excellent multitasking abilities, ready to provide administrative support while managing front desk responsibilities. This position requires handling sensitive patient information with professionalism and confidentiality. Reliable transportation is required.



Key Responsibilities:


  • Greet Visitors and Manage Front Desk: Act as the first point of contact for patients, caregivers, and visitors, both in person and over the phone.
  • Answer and Route Phone Calls: Handle incoming calls, transfer them to the appropriate staff, and manage voicemail messages.
  • Schedule Appointments: Assist in scheduling patient visits, follow-ups, and assessments in coordination with clinical staff.
  • Patient Intake Support: Help patients and families with initial paperwork and ensure all required documentation is completed accurately.
  • Manage Office Supplies: Monitor and order office supplies to maintain an organized work environment.
  • Data Entry and Records Management: Enter and update patient information in the electronic health records (EHR) system while ensuring confidentiality.
  • Administrative Support: Assist the Office Manager and other staff with tasks such as preparing documents, organizing meetings, and handling correspondence.
  • Maintain a Clean and Organized Reception Area: Ensure the front office and waiting areas are tidy and welcoming.
  • Support Billing Inquiries: Direct patient inquiries regarding billing or insurance to the appropriate departments and assist with basic payment collection if needed.


Qualifications:


  • High School Diploma or Equivalent Required; Associate’s Degree or administrative training preferred.
  • Experience in a Healthcare Setting or similar administrative role is preferred.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office (Word, Excel, Outlook) and comfortable learning new software, including EHR systems.
  • Ability to maintain confidentiality and handle sensitive information in compliance with HIPAA regulations.
  • Customer service-oriented with a friendly and professional demeanor.
  • Bilingual (English/Spanish) is a plus, but not required.


Salary

$18 - $22 per hour
