Job Type:  Part-time, hourly (W-2 employee)

Level:  Mid-level

Time Commitment:  20 hours per week

Hourly Rate:  $30.00 - $40.00 per hour

Primary Function

Think and Ink Grant Consulting® is seeking a detail-oriented, proactive Operations Project Manager to serve as the firm's operational backbone on a part-time basis, supporting the Founder & CEO across Operations, People Operations (HR), and Get.Grants.Better.®. The ideal candidate thrives in a fast-paced, remote consulting environment and manages competing priorities with minimal oversight. This position reports to and is managed by the CEO.


Role Description

The Operations Project Manager translates firm priorities into documented, repeatable processes and holds the team to them. They own the SOP library in Trainual, execute onboarding and offboarding end-to-end, serve as the first point of escalation for client issues, monitor Get.Grants.Better.® membership delivery, support certification renewals, monitor automation in ActiveCampaign, and track capacity, utilization, and project timelines in Teamwork—flagging risks and bottlenecks before they become client-facing problems.


Job Responsibilities

  • Own and maintain the firm’s SOP library in Trainual across Sales & Marketing, Operations, and Finance; update immediately when a system or policy changes, review all SOPs quarterly, assign Trainual tracks on Day 1, monitor completion monthly, and address non-compliance promptly
  • Fully execute employee and contractor onboarding and offboarding, including agreements, Gusto setup, system provisioning, Google Drive access, same-day access revocation, and task reassignment
  • Serve as the first point of escalation for client issues—acknowledge within one business day, communicate a resolution path, document the outcome in Teamwork, and escalate to the CEO the same day when triggers are met
  • Oversee Get.Grants.Better.® (GGB) operations by monitoring service delivery across the Learn, Strategize, and Scale tiers, including member access, session completion, deliverable status, and cancellation signals
  • Help renew and maintain firm certifications (B Corp and GPCI Approved Education Provider), alert the CEO no less than 90 days before any expiration, and support the annual social impact report
  • Monitor ActiveCampaign automation sequences weekly and flag broken flows, paused sequences, merge field errors, bounce rates above 2 percent, or unsubscribe spikes
  • Confirm every active client project is set up in Teamwork with the ten standard task lists, an assigned lead, and current milestones; monitor timelines weekly, set pre-submission review dates no less than five business days before any deadline, and track utilization and capacity across the team
  • Provide regular status reports—weekly updates, a written monthly report, and a quarterly operational review—and proactively flag risks, bottlenecks, or resource needs
  • Support the firm’s quality assurance process by confirming every final deliverable passes internal review against the correct QA checklist before it reaches the client
  • Maintain strict confidentiality in handling client, personnel, and firm records, ensure team compliance with the AI Tool Usage Policy and cybersecurity requirements, and support special projects as directed by the CEO

Core Competencies

These are the capabilities the Operations Project Manager must already possess on day one. This is not a training role. Candidates should be able to demonstrate each competency with concrete examples from prior work.

1. Systems Administration and Platform Fluency

  • Administers a project management platform (Teamwork or equivalent) including projects, task lists, milestones, workload views, and time reports without training
  • Administers a knowledge platform (Trainual or equivalent) and a marketing automation and CRM platform (ActiveCampaign or equivalent) at the level of segments, tags, automations, and deliverability metrics; advanced Google Workspace proficiency including shared drive permissions

2. SOP Documentation and Process Compliance

  • Writes a step-by-step SOP a brand-new team member can follow without a follow-up question, naming the systems, the responsible role, and the expected outcome
  • Audits an existing process, finds where documentation and practice have drifted apart, and holds peers accountable without escalating routine non-compliance to leadership

3. People Operations Execution

  • Executes a multi-system onboarding checklist on schedule, including payroll setup, system provisioning, access permissions, and training assignment, and offboards with same-day access revocation and nothing left open
  • Handles compensation, performance, and personnel records with strict need-to-know discretion, and administers employee and independent contractor engagements correctly

4. Client Issue Resolution and Service Delivery Oversight

  • Acknowledges a client concern within one business day, gathers full context, and distinguishes an issue that can be resolved at the operations level from one that must reach the CEO the same business day
  • Writes in a tone appropriate to executive directors and senior client staff, delivers unwelcome information with evidence and diplomacy, and can tell on any given week whether every membership tier is receiving what it was promised

5. Automation, Capacity, and Reporting Judgment

  • Reads an automation dashboard to identify a broken trigger, paused sequence, or mis-tagged contact, diagnoses root cause, and knows which movement in open, bounce, and unsubscribe metrics requires immediate action
  • Interprets time and workload reports to say precisely who is over capacity and what the firm can absorb, flags a slipping timeline early, and manages a multi-month certification renewal ahead of deadline
  • Produces a written status report a busy executive can act on, leading with risk rather than activity, responds same day (or next day after 3 PM EST), and works independently with minimal supervision

Success Factors

These indicators tell us the Operations Project Manager is performing. Targets are scaled to a 20-hour work week and reviewed at the close of the 60-day probationary period and at each subsequent performance review.

I. First 30 Days

  • Completes onboarding, holds administrator access to Teamwork, Trainual, and ActiveCampaign, and demonstrates working command of the firm’s SOP library, brand standards, and quality assurance process
  • Audits the Trainual SOP library, delivers the CEO a prioritized list of gaps, and establishes the weekly operating rhythm: automation check, timeline review, capacity review, and a written status update

II. First 60 Days (Probationary Review)

  • Independently owns SOP management, onboarding and offboarding execution, and automation monitoring end to end, and delivers the first written monthly status report on time
  • Resolves client issues at the operations level, monitors GGB delivery across all three tiers weekly, and requires no more than routine CEO involvement in day-to-day operations

III. First 90 Days

  • Runs firm operations on a documented weekly, monthly, and quarterly cadence with no reminders required, and maintains a current SOP library with 100 percent Trainual completion across the team
  • Maintains zero missed internal deadlines, certification renewals on track, and no unflagged risk reaching the CEO after the fact

Classification

This is a part-time, remote, non-exempt, hourly W-2 position of 20 hours per week with a 60-day probationary period.

Skills and Qualifications

Applicants must be strong in the following skills, abilities, or experience: 

  • Bachelor’s degree in business administration, project management, nonprofit management, or a related field; OR equivalent relevant experience
  • Minimum three (3) years of professional project management, operations, or client management experience (remote or consulting environment preferred)
  • Demonstrated experience administering project management, knowledge management, or marketing automation platforms
  • Self-driven, independent problem solver, deadline-driven with extreme attention to detail
  • Strong organizational and time-management skills; manages multiple projects simultaneously and meets deadlines with minimal supervision
  • Excellent written and verbal communication skills and proficiency with Google Workspace
  • Demonstrated ability to document and improve processes and SOPs, and to handle confidential client, financial, and personnel information with discretion
  • Authorized to work in the United States as a W-2 employee

Preferred Qualifications

  • PMP, CAPM, SHRM-CP, or other project management or human resources certification
  • Prior experience in consulting, nonprofit, or grant writing sectors, or as a nonprofit leader supporting women, children, health, and education
  • Familiarity with Teamwork, Trainual, ActiveCampaign, Networked or Circle, QuickBooks Online, BILL, Gusto, Calendly, and Webflow
  • Experience supporting a B Corp or similar certification renewal, or administering a membership or online learning program, with the ability to track KPIs and evaluate project outcomes
