Primary Function
Think and Ink Grant Consulting® is seeking an individual with at least two years of grant writing experience to fill the role of a full-time Associate Grant Consultant. This is an entry-level role for a person interested in learning, advancing their grant-writing knowledge, serving as a grant consultant to our clients, and eventually taking on more challenging projects.
This position reports to and is managed by the CEO.
Role Description
The Associate Grant Consultant must be skilled at understanding each client’s program goals and translating them into writing. They must also have excellent verbal communication and listening skills, superior persuasive and technical writing skills, and strong budgeting skills. Funding opportunities may arise from foundations and government entities through grants, corporate sponsorships, and in-kind donations for program and general operating support. They must also provide grant consulting support, create logic models, write simple evaluation plans, lead meetings, and serve as advisors to our clients.
Typical Clients Served
Our clients include colleges and universities, 501 (c) (3) nonprofit organizations with operating budgets of $3 million or more, and municipalities. We specialize in organizations supporting women, children, health, and education nationwide.
Job Responsibilities
- Provide support across all Think and Ink Grants® service areas: grant consulting, grant writing, grant research, grant management, and grant evaluation
- Write grant proposals per our quality assurance process
- Compile all required documents and attachments as required by funders
- Lead client meetings as touchpoints to ask questions, give an overview, provide updates on pending applications, guide the grant writing process, and manage client expectations
- Manage projects and provide updates on the entire submission process, including, but not limited to, project deadlines, final delivery, and subtasks.
- Serve as an advisor to provide grant consulting support as the need arises
- Conduct prospect research to find new and update existing funders
- Review, update, and create budgets for the client organization per funder requirements
- Update and maintain a grant application calendar summarizing potential funding opportunities
- Attend weekly team meetings to discuss strategy, next steps, and upcoming meetings
Core Competencies
These are the capabilities the Associate Grant Consultant must already possess on day one. This is not a training role. Candidates should be able to demonstrate each competency with concrete examples from prior work.
1. Persuasive and Technical Grant Writing
- Writes a complete, funder-ready narrative from a blank page without a template to copy or AI assistance
- Translates program design into a need statement, goals, measurable objectives, activities, and outcomes that hold together logically
- Writes to a scoring rubric, allocating length and emphasis to where the points are
- Self-edits to word and character limits without losing the argument
- Produces clean first drafts. Copy editing is a polish step, not a rescue
2. Federal and Foundation Compliance Fluency
- Reads a NOFO or RFP and independently builds an accurate compliance checklist
- Navigates Grants.gov, SAM.gov, and common foundation portals without hand-holding
- Understands allowable and unallowable costs, match and cost-share requirements, and indirect costs
- Working familiarity with 2 CFR Part 200 and the ability to spot a compliance risk before it reaches the client
3. Budget Development and Financial Reasoning
- Builds a multi-year project budget with a narrative that ties every line to a program activity
- Calculates personnel costs, fringe, indirect, and match accurately
- Reads a client's audited financials and 990 well enough to reference them credibly in a proposal
- Catches arithmetic and formula errors before submission
4. Client Advisory and Meeting Leadership
- Leads a client meeting with senior staff and executive directors, sets the agenda, and drives to decisions
- Asks the diagnostic questions to surface what a client actually needs, not only what they asked for
- Effectively gathers information from client to support a successful, on-time submission
- Ability to deliver unwelcome guidance, such as declining to pursue a poor-fit opportunity, with evidence and diplomacy
- Manages scope and expectations without escalating routine matters to leadership
5. Project and Deadline Management
- Manages multiple concurrent client accounts and overlapping submission deadlines without dropped tasks
- Works backward from a deadline to build a realistic internal timeline with buffer for review
- Uses project management software to keep status visible to the team in real time
- Communicates project status to fellow team members and management
- Flags a slipping timeline early rather than reporting it after the fact
6. Prospect Research and Funding Strategy
- Builds a qualified prospect list, not a long list, and can explain the fit rationale for each funder
- Uses funder databases, 990s, and award histories to assess realistic competitiveness
- Builds and maintains a grants calendar that sequences opportunities against client capacity
7. Program Design and Evaluation Logic
- Constructs a logic model and a simple evaluation plan with valid measures
- Distinguishes outputs from outcomes and writes indicators a funder will accept
- Interprets client program data and uses it as evidence rather than decoration
8. Professional Judgment and Communication
- Responds to client and internal communication same day or next day for correspondence received after 3 PM EST
- Works independently in a remote, highly structured environment with minimal supervision
- Receives quality assurance feedback positively and applies it consistently going forward
- Handles confidential client and organizational information with discretion
Success Factors
These indicators tell us the Associate Grant Consultant is performing. Targets are reviewed at the close of the 60-day probationary period and at each subsequent performance review.
I. First 30 Days
- Completes onboarding and demonstrates working command of the firm's quality assurance process, brand standards, and project management system
- Shadows and then co-leads at least two client meetings
- Delivers a first proposal section or full narrative that passes internal QA with only minor revisions
- Maintains same-day or next-day response for correspondence received after 3 PM EST for internal and client communication
II. First 60 Days (Probationary Review)
- Independently owns at least two client accounts end to end
- Submits at least two applications on time with zero compliance errors
- Leads client meetings solo with an agenda circulated in advance and a recap delivered within 24 hours
- Requires no more than routine leadership involvement in day-to-day account management
III. First 90 Days
- Carries a full portfolio of four to six concurrent client accounts
- Produces three to five submission-ready proposals per month at the firm's quality standard
- Maintains a 100 percent on-time submission rate
- Builds or refreshes the grants calendar for every assigned account
Classification
This is a full-time, remote-optional, exempt, salaried role of 40 hours per week with a 60-day probationary period.
Skills and Qualifications
Applicants must be strong in the following skills, abilities, or experience:
- Bachelor’s degree
- Team player with a proven track record in grant writing and program development
- Deadline-driven with extreme attention to detail
- Minimum of two (2) years of writing and preparing grant applications in the grant focus areas of women, children, health, and education
- Project management, budgeting, and research skills
- Impeccable written and verbal communication skills
- Demonstrated ability to work as part of a team and manage project timelines
- Ability to work independently and set priorities
- Demonstrated ability to prioritize and manage multiple job tasks
- Organizational and analytical skills with consistent attention to detail
Preferred Qualifications
- Advanced degree and/or GPC
- Five (5) years of grant writing and grant consulting experience
- Federal grant writing experience with the following agencies: HRSA, DOL, DOJ, DOE, or SAMHSA
- Federal grant writing experience with the following topic(s): rural health
- Experience supporting nonprofit organizations with annual budgets of $3 million or more, colleges and universities, and municipalities
- Prior experience as a nonprofit leader or work experience supporting women, children, health, and education (i.e., teacher, social worker, health advocate, etc.)
