About the Role

Innovative Wellness Consulting is seeking a highly organized, proactive, resourceful, and trustworthy Executive Personal & Brand Assistant to work closely with its Founder and support the continued growth of IWC, Manifest Apothecary, publications, trainings, speaking engagements, and related professional initiatives.

This is a dynamic, hands-on position for someone who enjoys making things happen.

The ideal candidate is equally comfortable managing an executive calendar, drafting an email, coordinating international travel, reaching out to a bookstore, preparing a presentation, supporting a professional training, taking photos at an event, transporting products to a pop-up, or handling an errand that allows the Executive to remain focused on higher-level priorities.

The purpose of this role is simple: reduce the Executive’s administrative and logistical load while helping move opportunities and ideas into action.

What You’ll Do

Executive & Personal Support

  • Manage the Executive’s calendar, scheduling, appointments, meetings, deadlines, and designated email communications.
  • Draft routine emails, correspondence, basic documents, meeting materials, itineraries, and other first drafts for Executive review and finalization.
  • Track action items and proactively follow through on outstanding commitments.
  • Coordinate transportation, reservations, meals, appointments, and other logistics during busy workdays.
  • Complete reasonable business and personal errands, including occasional pet-related support.
  • Handle confidential business and personal information with a high degree of discretion.

Travel, Conferences, Speaking & Trainings

  • Coordinate domestic and international travel, including flights, trains, hotels, ground transportation, registrations, itineraries, and reservations.
  • Maintain the Executive’s secure travel profile, including authorized passport, Known Traveler Number, loyalty program, and travel-preference information.
  • Support conferences the Executive attends as well as conferences, trainings, book events, and engagements where she is presenting or facilitating.
  • Travel with the Executive for selected engagements when onsite support is needed.
  • Provide home-base support when the Executive is traveling and the Assistant remains in Los Angeles.
  • Help anticipate practical needs so travel and professional appearances are organized and comfortable.
  • Support presentation and training technology, including tech checks, screen sharing, slide advancement, links, materials, virtual platforms, and routine troubleshooting.
  • Remain reasonably flexible across time zones when time-sensitive support is needed during professional travel.

Books, Brand & Business Development

  • Help develop and coordinate book tours, book signings, author appearances, and related promotional opportunities.
  • Research and contact bookstores, retailers, conferences, podcasts, organizations, wellness spaces, and other potential partners.
  • Track outreach and follow opportunities through booking and completion.
  • Support PR, marketing, speaking, training, and brand-visibility initiatives.
  • Help identify opportunities to expand the reach of IWC, Manifest Apothecary, books, trainings, and other offerings.
  • Support Amazon store activities and self-published book distribution through IngramSpark.
  • Coordinate book and product inventory for events, signings, pop-ups, speaking engagements, and travel.

Events & Content

  • Serve as the Executive’s primary logistics lead for designated events and appearances.
  • Coordinate event checklists, materials, setup, products, books, displays, and onsite needs.
  • Provide day-of direction to temporary staff, volunteers, contractors, or other event helpers.
  • Capture quality photos and short-form video for social media, marketing, and PR.
  • Track important contacts, leads, sales opportunities, and post-event follow-up.
  • Help ensure the Executive can focus on speaking, teaching, signing, networking, and relationship building rather than managing event logistics.

Who We’re Looking For

  • Comfortable communicating with executives, government and community partners, bookstores, retailers, event organizers, vendors, and members of the public.
  • Tech comfortable and able to learn new systems quickly.
  • Familiar with tools such as Google Workspace, Microsoft Office, Canva, Zoom, Teams, and presentation software.
  • Comfortable with or willing to learn Amazon and IngramSpark.
  • Able to take quality smartphone photos and short-form video.
  • Comfortable working independently without needing constant direction.
  • Flexible enough to move between executive support, business development, events, products, travel, and personal-assistance responsibilities.
  • Discreet and trustworthy with confidential information.
  • Able to maintain appropriate professional boundaries and recognize when Executive approval is needed.
  • Available for local in-person responsibilities and occasional professional travel.
  • Able to safely transport reasonable quantities of books, products, and event materials.
  • In possession of reliable transportation for local assignments.

Experience supporting an entrepreneur, executive, author, speaker, consultant, or growing small business is preferred.

Compensation & Growth

Compensation is $25-$30 per hour, depending on experience, with an initial 90-day introductory period.

This position offers the opportunity to grow alongside expanding consulting, publishing, training, speaking, product, and brand initiatives.

Approved business mileage, parking, tolls, travel, and other authorized business expenses are paid or reimbursed separately in accordance with company policy.
