Client Service Representatives assist clients with accessing treatment services at Therapeutic Oasis by creating a welcoming and supportive environment, optimizing available treatment resources, managing insurance requests and claims submissions, and assisting clients with superbills.

Status: Hourly, Non-Exempt, Part-Time

Reports To: Office Manager


Essential Responsibilities


Welcome Clients

Create and maintain a warm and welcoming environment for Clients, visitors and Team

  • Warmly greet all Clients and visitors
  • Direct clients on campus
  1. Be sensitive to the general well-being of each client
  2. Check clients in and collect payment
  3. Direct clients to the appropriate waiting area 
  • Open and close building at the scheduled time
  • Assume responsibility for the daily care and upkeep of lobbies, restrooms and all public areas


Help Clients Access Oasis Services

  • Help Clients schedule and coordinate appointments
  • Assist Clients with completing necessary paperwork and forms
  • Assist Clients in paying for Oasis services
  • Forward New Client calls to Intake Coordinator
  • Follow up with missed appointments
  • Facilitate Client-Therapist Communication
  1. Communicate essential Client information to other Team Members
  2. Manage calls, take messages and retrieve voicemail
  3. Distribute faxes and mail as required


Protect Clients and their Confidential Information

  • Safeguard client’s Protected Health Information as required by HIPAA and Therapeutic Oasis Policies and Procedures.
  • Maintain updated client information including addresses, phone numbers and insurance plans
  • Scan Client paperwork to EHR
  • Be familiar with Therapeutic Oasis Emergency Operation Policies and Procedures


Assist Clients with Claim Submission

  • Verify and document Client’s insurance benefits as needed.
  • Explain insurance benefits, policy requirements, and filing rules to Clients
  • Manage pre-authorizations, notify Client & therapist when pre-auth expires
  • Make necessary notations in client’s EMR regarding insurance terms, conditions, authorizations and any other information necessary for proper claims submissions and billing
  • Handle all billing inquiries for clients with insurance


Process Insurance Claims 

  • Review claims generated by the practice to ensure that all required data is accurately reported and to ensure prompt reimbursement for services provided
  • Communicate to Clinical Team Members when notes are missing or incomplete
  • Make sure all eligible claims are submitted to insurance companies.
  • Correct all data errors and resubmit all unprocessed or returned claims
  • Research and apply knowledge of all rules and regulations for Medicare and major insurance programs
  • Follow up on all claims not paid within 45 days
  • Review all insurance payments and remittance advice documents to ensure proper processing and payment of each claim.
  • Accurately post charges, payments, and adjustments to patient accounts and office accounts receivable records
  • Research and prepare appeals for all underpaid, unjustly recoded, or denied claims


Support other Team Members

  • Assist and support other Team Members in their efforts to provide exceptional service and care to every Client.  
  • Attend staff meetings and training programs 
  • Monitor and schedule Resources as needed
  • Monitor and restock Office Supplies
  • Eligible to Participate on Marketing Team (Optional)



Preferred Education & Qualifications

  • Authorized to work in the United States 
  • Must be age 18 or older
  • Excellent written and verbal communication skills
  • Customer service and/or medical office experience
  • Proficient in Microsoft Word or similar word processing software
  • Good computer skills, preferably with Mac 
  • Basic Math Skills
  • Intermediate understanding of medical billing and insurance related terms
  • Working knowledge of EHR software

$18 - $22 per hour
