The Willow Center is seeking a dependable and welcoming Evening Front Desk Receptionist to support daily operations at our Pittsboro location. This role serves as the first point of contact for clients and visitors while assisting with scheduling, client communication, documentation, payments, and administrative support. The ideal candidate is organized, professional, compassionate, and committed to providing a positive experience for individuals receiving care. This position offers full-time and part-time evening schedule options.

Evening Front Desk Receptionist

The Willow Center is a DMHA-certified and CARF-accredited outpatient mental health and substance use treatment provider with locations in Brownsburg and Pittsboro, Indiana. We are committed to providing compassionate, client-centered care that helps individuals find lasting stability through evidence-based treatment and genuine support.


Position Summary

The Evening Front Desk Receptionist serves as the first point of contact for clients, families, and visitors while providing essential administrative support to the Pittsboro office. This role is responsible for managing front desk operations, assisting with client communication, scheduling, documentation, and maintaining a welcoming and professional environment for all individuals served by The Willow Center.

The ideal candidate is organized, dependable, compassionate, and comfortable working in a fast-paced healthcare setting while maintaining confidentiality and professionalism.


Essential Responsibilities

Front Desk & Client Support

  • Manage the front desk and reception area for the Pittsboro office.
  • Answer and direct incoming phone calls and assist with new client inquiries and intakes.
  • Welcome clients and visitors while providing a friendly and professional experience.
  • Check clients in and out for appointments.
  • Accept client payments in person and over the phone for applicable service fees.
  • Assist with scheduling appointments for clients and clinicians.

Administrative Support

  • Enter and maintain confidential client information in the electronic medical record (EMR) system.
  • Complete required documentation following client communications.
  • Provide administrative support to clinicians and team members as needed.
  • Maintain organized digital and physical files.
  • Support office organization, including common areas inside and outside the building.

Compliance & Team Support

  • Maintain strict confidentiality in accordance with HIPAA, CFR 42 Part II, and applicable regulations.
  • Contribute to a positive, supportive, and team-oriented work environment.
  • Perform additional duties and responsibilities as assigned based on organizational needs.

Qualifications

Required

  • High school diploma or equivalent.
  • Experience using electronic health records (EHR/EMR) or other confidential information systems.
  • Proficiency with Microsoft Office 365 applications and basic computer skills.
  • Ability to type efficiently and navigate computer systems.
  • Strong communication and customer service skills.
  • Ability to maintain professionalism and confidentiality.
  • Ability to work independently while contributing positively to a team.
  • Successful completion of a criminal background check.
  • Current First Aid and CPR certification, or willingness to obtain certification within six months of hire.

Preferred

  • Associate degree in office administration, communications, hospitality, healthcare administration, or related field.
  • Two years of professional administrative or medical receptionist experience.
  • Previous experience working in a healthcare or behavioral health setting.

Schedule Options

Full-Time Schedule

  • Monday–Thursday: 12:30 PM–9:00 PM
  • Friday: 9:00 AM–5:30 PM

Part-Time Schedule

  • Monday–Thursday: 4:00 PM–9:00 PM
  • Friday: 9:00 AM–5:30 PM

Must be reliable and available to work the assigned evening schedule.
