Job Title: Accounts Payable Clerk

Department: Accounting

Reports to: Associate Director

Job Type: part- time

FLSA Status: Hourly, Non-Exempt

Work Location: on-site


The Accounts Payable Clerk for the Council office will primarily support the Council and Conference accounting office operations. This individual will be responsible for providing accounting assistance to the conferences (locations) and the council office whilst communicating between accounting and the Office Comptroller.

Essential Duties and Responsibilities

  • Support the Accountant Specialist in all accounting transactions for the conferences (locations) including In-kind donations to the conferences (locations)
  • Record deposits and disbursements in Xero- oversite of checks and credit card receipts
  • Handle monthly, quarterly, and annual closings
  • Reconcile accounts payable
  • Complete Family and Community Assistance Department monthly invoices
  • Collect, clean up, and combine accounting documents from the monthly conference reports
  • Reinforce financial data confidentiality and conduct database backups when necessary
  • Comply with financial policies and regulations
  • Track W-9 forms
  • Generate 1099 forms

Qualifications

  • Associate's degree (A. A.) or equivalent from two-year college or technical school in Accounting, Finance, or relevant degree
  • Previous experience with bookkeeping and a flair for spotting numerical mistakes
  • Driver License and Vehicle (company provides mileage reimbursement)
  • Minimum 2 years providing accounting support
  • Non-Profit Experience is a plus
  • Previous knowledge of 990 Tax Exempt Forms
  • Hands-on experience with accounting software like Xero, and QuickBooks

Knowledge, Skills, and Abilities

  • Must have excellent English written and oral communication skills.
  • Must be a self-starter and able to take the initiative to reach organizational goals.
  • Effectively manage multiple tasks.
  • Proficient personal computer skills including electronic mail, record keeping, routine database activity, word processing, spreadsheet, graphics, etc. Strong Microsoft Office Skills required.

Physical Demands/Work Environment

  • Work is generally sedentary and is done in a standard office environment affording adequate lighting and climatic conditions.
