This role will be an important source of support for the Guest Reception team.

About the Role:

The Guest Reception Mail Associate & Driver is responsible for sorting, distributing, and forwarding mail for guests. In addition, this role provides transportation for guests and staff and assists with item pickups as needed. The Guest Reception Mail Associate & Driver will greet guests as they arrive at the Hospitality Hub to pick up their mail. People come to the Hub potentially carrying decades of trauma. The role of the Guest Reception Mail Associate is to help ensure that the Hub is a welcoming, safe, and trauma-free environment.  


The Guest Reception Mail Associate & Driver may need to problem-solve throughout a given shift and should be comfortable with independent decision-making during crises. This role will be an important source of support for the Guest Reception team.

Many Hub clients and guests are healing from trauma related to their marginalization. It is critically important that all members of the Hub team maintain a hospitable and welcoming environment by remaining calm and kind when clients are feeling frustrated.


Primary Location: 590 Washington Ave. Memphis, TN 38105

Hours: Typical hours for this position are Monday through Friday 8a.m. to 4p.m.

Benefits: A generous paid time off policy, parent leave, professional development, 401 (k), and medical insurance are offered to all regular full-time employees. Regular training is provided to all employees. 

Pay: The salary for this position is dependent on the candidate's demonstrated experience, expertise, and skill. The salary range starts at $15. Hourly team members are compensated with overtime pay for hours exceeding 40 hours a week.

While the primary responsibilities of the position are outlined below, this list is not exhaustive. 


Responsibilities 

  • Greets Hub guests, partners, and staff as they enter and leave the lobby
  • Receives and stamps new mail, discarding junk mail
  • Sorts mail and organizes in the filing system
  • Assists guests who are checking their mail and with opening new mailboxes
  • Forwards misdirected mail
  • Purges old mail monthly
  • Maintains a clean and clutter-free environment in the mailroom
  • Keeps records of receipt, mailing dates, and other required information for vital documents
  • Uploads copies of vital documents into HMIS and internal CRM system 
  • Monitors mailroom supplies and requests additional supplies when necessary
  • Provides safe and reliable transportation for guests to designated locations, including shelters, hospitals, bus stations, and approved special requests
  • Transports staff as needed to support Hub operations and outreach efforts
  • Picks up and delivers items, supplies, or documents as requested
  • Ensures vehicles are operated safely and in compliance with organizational policies and traffic laws
  • Maintains appropriate documentation related to transportation activities, as required
  • Helps ensure the safety of all guests
  • Completes incident reports for any injuries experienced by guests
  • Contacts emergency services when needed
  • Immediately reports any security concerns to security personnel and directors
  • Resolves conflicts during shifts using de-escalation and mediation skills
  • Supports the mission of the Hub to help people exit homelessness with creativity, commitment, and compassion
  • Support the training and onboarding of new hires and interns, reflecting our commitment to being a learning organization.
  • Must be available to work additional shifts as needed to support warming and cooling center operations during extreme weather events.
  • Performs other duties as assigned. 


Requirements

  • Valid driver's license with clean driving record

Preferred

  • Experience working in a mail room
  • Experience working with individuals living on the margins of society
