The Admissions Specialist is responsible for executing day-to-day admissions activities across the B&B Group verticals: Elevate Recovery Homes and True North Recovery Services (TNRS). This role focuses on delivering exceptional client service during the admissions process, ensuring timely and accurate handling of applications, maintaining CRM records, and supporting seamless communication between clients, families, and internal teams. The Admissions Specialist contributes to the overall success of the admissions team by maintaining high standards of documentation, responsiveness, and professionalism while supporting continuous improvement initiatives led by the Director of Admissions.

Description

Client Intake & Application Management

  • Respond to all client inquiries via phone, email, and web within established timelines.
  • Conduct initial screening and gather necessary information to assess program eligibility.
  • Assist clients and families through the application and admissions process, providing clear information about services, requirements, and expectations.
  • Manage client onboarding tasks, including collecting documentation, contracts, and coordinating intake appointments.
  • Accurately maintain client records in the EHR (Electronic Health Record) and CRM (Customer Relationship Management) systems, ensuring timely data entry and updates.
  • Support the Director of Admissions in reviewing applications and preparing recommendations for approval or next steps.

Communication & Relationship Support

  • Serve as a liaison between clients, families, referral partners, and internal teams to ensure a smooth and professional admissions experience.
  • Provide updates to referral sources regarding program availability, admissions status, and client progress through the admissions pipeline.
  • Collaborate with clinical and operational teams to coordinate timely admissions and transfers.

Documentation & Compliance

  • Ensure all admissions documentation complies with organizational policies, HIPAA, 42 CFR Part 2, and applicable laws.
  • Participate in routine audits of admissions files to maintain accuracy and compliance.
  • Assist with preparation of regular admissions reports as directed by the Director of Admissions.

Project & Operational Support

  • Assist the Director of Admissions with implementation and optimization of systems.
  • Contribute to the development and updating of Standard Operating Procedures (SOPs) for admissions workflows.
  • Support community engagement efforts, including occasional participation in outreach activities and events as assigned.

Key Performance Indicators (KPIs)

  • Respond to client inquiries within 24 hours (≥ 95% compliance).
  • Maintain accurate and complete client records in the CRM with ≥ 98% accuracy.
  • Achieve target conversion rates from inquiries to admissions, as defined by leadership.
  • Meet deadlines for admissions documentation and reporting requirements.
  • Receive positive feedback from clients, families, and referral partners regarding admissions support.
  • Complete assigned projects and tasks within agreed timelines.

Qualifications & Experience

  • High school diploma or equivalent required; Associate’s or Bachelor’s degree in a related field preferred.
  • Minimum of 1 year of experience in admissions, client services, healthcare, or related field.
  • Experience working in behavioral health, substance use disorder services, or recovery programs is preferred.
  • Proficiency in CRM, EHR systems and standard office software.
  • Comprehensive understanding of HIPAA and confidentiality requirements.
  • Strong interpersonal and organizational skills.

Salary

$20 - $26 per hour
