The American Baby Company is building a new fertility clinic network designed to make high-quality IVF and egg freezing more affordable, transparent, and modern.


Hundreds of thousands of people each year want to start their families but are priced out of the fertility care that could help them. Our mission is to change that by building an exceptional clinical model around efficient workflows, high-performing IVF laboratories, technology-enabled care, and a welcoming patient experience.


We are preparing to open our flagship clinic in West Palm Beach, Florida, with the long-term goal of building a national fertility care network.


The Opportunity

We are seeking a Founding Patient Experience Coordinator to become the welcoming face of our first clinic and help ensure that every patient feels cared for from the moment they arrive.


This role is sometimes described as our “Director of First Impressions.” You will own the front-of-house patient experience while helping keep the clinic organized, welcoming, and running smoothly.


Your initial focus will include patient check-in and checkout, reception, scheduling support, maintaining the waiting room, receiving deliveries, monitoring supplies, and helping coordinate daily clinic needs.


Over time, the right person will have an opportunity to develop deeper knowledge of fertility treatment and grow into patient education, fertility coaching, and IVF coordination responsibilities.


This is an ideal role for someone who combines exceptional hospitality with strong organization, follow-through, empathy, and an eagerness to learn.


What You’ll Do

Patient experience

  • Warmly welcome patients and visitors to the clinic
  • Manage patient check-in and checkout
  • Help create a calm, comfortable, and reassuring waiting-room experience
  • Answer incoming calls and route patient questions appropriately
  • Assist with appointment scheduling, confirmations, and basic follow-up
  • Help patients understand administrative next steps and what to expect during their visit
  • Communicate with warmth and discretion during emotionally sensitive moments
  • Identify patient needs and make sure the appropriate team member follows up
  • Help ensure that every patient interaction reflects our service standards


Front-desk and administrative support

  • Maintain accurate patient demographic, contact, and administrative information
  • Collect required forms and help ensure records are complete
  • Assist with scanning, uploading, and organizing patient records
  • Monitor shared administrative task queues and follow-up items
  • Coordinate closely with clinical, laboratory, finance, and operations teams
  • Protect patient confidentiality and follow HIPAA requirements


Clinic environment and operations

  • Maintain an organized, comfortable, and well-stocked waiting room
  • Receive, document, and distribute mail, packages, supplies, and deliveries
  • Monitor office, hospitality, and front-of-house inventory
  • Restock beverages, snacks, printed materials, and patient amenities
  • Communicate supply and facilities needs before they become problems
  • Help maintain a polished and professional clinic environment
  • Coordinate with vendors and building personnel as directed
  • Take ownership of small operational details that keep the clinic running smoothly


Growth into fertility coordination

As you gain experience and complete training, responsibilities may expand to include:

  • Helping patients navigate the major steps of fertility evaluation and treatment
  • Reinforcing nonclinical education provided by the care team
  • Supporting treatment calendars and administrative milestones
  • Coordinating records, laboratory results, consent forms, and outside documentation
  • Helping patients stay organized throughout IVF or egg-freezing treatment
  • Providing compassionate, nonclinical fertility coaching and support
  • Developing toward a broader patient or IVF coordinator position


Clinical questions and treatment decisions will always be directed to an appropriately licensed member of the clinical team.

Preferred Experience

We are open to candidates from several backgrounds, including:

  • Medical reception or patient access
  • Fertility, OB/GYN, women’s health, or another outpatient specialty
  • Patient coordination or healthcare administration
  • Hospitality, hotels, concierge services, or luxury customer service
  • Dental, cosmetic, dermatology, or other high-touch healthcare practices


Prior fertility experience is helpful but not required.


A college degree is not required. We care more about judgment, communication, reliability, hospitality, and the ability to learn.


Spanish-language proficiency is a plus.

This is an hourly, non-exempt position.


Schedule and Location

This is a full-time, in-person role at our West Palm Beach clinic.


The schedule will generally align with clinic operations. Fertility care sometimes requires early mornings and occasional Saturdays, and candidates should have reasonable flexibility based on patient treatment schedules.
