Duties
- Create purchase orders based on sales orders and maintain appropriate stocking levels.
- Maintain clear and professional communication with vendors and the inventory department.
- Process purchase order receipts through vendor invoicing, ensuring timely notifications for project coordination and technical sales teams.
- Create sales orders and convert bids for processing.
- Maintain strong customer relationships through email and telephone communication.
- Process service billing from technicians.
- Process sales orders for invoicing as items ship and track orders through completion for accounting.
- Attend weekly project and sales support meetings and maintain required spreadsheets and notifications.
- Coordinate with inventory control personnel to update vendor costs and inventory pricing.
- Work with vendors to resolve overages, shortages, damaged items, returns, and warranty claims, tracking issues through resolution.
- Learn sales and financial department procedures to serve as backup support when needed.
- Perform other duties as determined necessary to support business operations and customer needs.
Skills
- Proficiency in Microsoft Excel, Word, and online calendaring systems.
- Ability to work independently while managing multiple demands and priorities.
- Strong written and verbal communication skills.
- Strong proficiency in the English language, including correct use of spelling, grammar, punctuation, and sentence structure.
- Ability to produce clear, accurate, and professional handwritten and electronic documentation.
- Demonstrated problem-solving and decision-making abilities.
- High attention to detail and commitment to accuracy.
- Strong customer service skills with a professional demeanor.
- Excellent work ethic and willingness to work additional hours during peak demands or deadlines.
Minimum Physical Expectations
- Frequent keyboarding, sitting, phone work, and filing.
- Extended periods of working on a computer and telephone.
- Occasional lifting of items up to 25 lbs.
- Occasional bending, stooping, reaching, kneeling, or twisting.
- Specific vision abilities required include close vision, depth perception, and the ability to adjust and focus.
- Ability to hear and speak clearly enough to conduct business by phone or in person for extended periods of time.
Minimum Environmental Expectations
- This position is performed indoors in an office setting.
- Typical work schedule consists of eight-hour workdays, five days per week, with occasional weekend work as needed.
- The role may involve managing challenging personalities and working in a fast-paced, deadline-driven, and occasionally stressful environment.
Job Type: Full-time, Salaried
Pay: $50,000 - $65,000 annually
Salary is selected based on education and experience, with potential for performance-based bonus
Required Education: Minimum Associate's Degree in a business related field preferred. Relevant job experience may be substituted for educational requirements.
