Overview: Tamalpais Pediatrics is a welcoming, progressive high quality medical practice specializing in the care of children from birth through adolescence, with offices in Larkspur and Novato. We are seeking a Referrals Coordinator to assist patients who are referred by our pediatric primary care providers to specialist services. This is a part-time, benefitted position approximately 20-24 hours per week. The ideal candidate will be able to work either mornings or afternoons Monday through Friday. Description: The Referrals Coordinator is responsible for managing and coordinating patient referrals to specialists or other healthcare providers. Their duties include verifying insurance coverage, obtaining any necessary pre-authorizations, maintaining accurate records in compliance with HIPAA regulations, and facilitating communication between providers and specialists. The Referrals Coordinator answers any patient questions or concerns regarding the referral process and provides status updates on referral and authorization decisions.

Description

Job Duties:

  • Responsible for completion and processing of all authorizations and referrals
  • Ensure accurate and timely processing of patient and provider referral requests 
  • Verify insurance eligibility and benefits and obtain necessary pre-authorizations from insurance companies for specialist appointments. 
  • Utilize medical coding systems such as ICD-10 for proper documentation of patient diagnoses.
  • Prepare and transmit relevant patient medical information to the specialist's office, keeping accurate and complete documentation of communications
  • Maintain accurate and detailed records of patient referrals
  • Monitor and track the status of patient referrals, ensuring that appointments are kept and notes are received.
  • Address patient questions and concerns related to referrals
  • Maintains relationships by working in a professional manner, displaying excellent customer service and professional attitude.
  • Adhere to HIPAA regulations and practice guidelines related to patient privacy and referral processes. 
  • Other duties / projects as requested.


Requirements and Minimum Education Level:

  • Associates of Arts degree with experience in a health related field or equivalent experience required.
  • Must be fully vaccinated against COVID and willing to receive annual COVID and flu vaccines


Experience:

  • Two years experience working in a medical office is preferred.


Knowledge, Skills, and Abilities:

  • Previous experience with referrals, insurance and prior authorizations
  • Previous experience in healthcare or a healthcare facility
  • Basic understanding of medical terminology and insurance practices
  • Familiarity with electronic health records (EHR) systems and ability to navigate insurance portals for verification and pre-authorization requests
  • Efficiently manage multiple referrals simultaneously, prioritize tasks, and maintain accurate documentation
  • Excellent written and verbal communication skills
  • Must be detail oriented, computer literate, and have excellent multi-tasking skills
  • Ability to work independently and as part of a team with minimal supervision
  • Must be able to work in person at our Novato and Larkspur offices.
  • Bilingual Spanish and / or Portuguese is a plus


Physical Requirements and Working Conditions:

  • Prolonged periods of sitting at a desk / computer
  • Must be able to lift up to 20 pounds

Salary range:

The expected hourly range for this position is between $25 to $30 per hour. The actual compensation will be determined based on experience and other factors permitted by law.
