Position Overview
Superior Health and Wellness Group is seeking a dependable, highly organized, and task-oriented Administrative Assistant to support the practice owner with ongoing administrative responsibilities. This position is ideal for someone who enjoys creating order, tracking details, completing follow-ups, and helping a busy professional stay organized. The Administrative Assistant will manage assigned projects, maintain task lists and spreadsheets, obtain information from insurance companies, and coordinate the work of a remote administrative support contractor.
This is a limited-hours support position and is not an office-manager or clinical position.
Primary Responsibilities
- Help the practice owner organize administrative priorities
- Maintain weekly task, deadline, and follow-up lists
- Break larger projects into manageable action items
- Monitor outstanding tasks and provide status updates
- Call insurance companies and payer representatives for updated information
- Document call dates, representative names, reference numbers, outcomes, and next steps
- Maintain payer, credentialing, contract, and administrative spreadsheets
- Prepare routine reports, summaries, and tracking documents
- Organize electronic files and administrative records
- Track license, credentialing, insurance, contract, and policy-expiration dates
- Follow up on outstanding applications, forms, and administrative requests
- Prepare routine forms and correspondence for review
- Identify missing information or unresolved administrative issues
- Maintain clear documentation of completed and pending work
- Assign approved routine tasks to the remote administrative support contractor
- Review the contractor’s work for completeness and accuracy
- Return incomplete or inaccurate work for correction
- Escalate matters requiring the owner’s decision, signature, or approval
- Complete other administrative projects within the approved scope of the position
Minimum Qualifications
- High school diploma or equivalent
- Strong organizational and follow-through skills
- Proficiency with email, spreadsheets, and word-processing programs
- Ability to organize information and prepare clear written summaries
- Professional telephone and written communication skills
- Ability to follow written procedures and detailed instructions
- Strong attention to accuracy and deadlines
- Ability to work independently and provide regular progress updates
- Ability to protect confidential patient, employee, and business information
- Willingness to complete required HIPAA and security training
- Reliable availability for approximately 16 hours per week
Preferred Qualifications
- Previous administrative, healthcare, insurance, or behavioral health experience
- Experience communicating with insurance companies
- Experience maintaining spreadsheets and tracking reports
- Experience supporting a business owner, manager, or healthcare provider
- Familiarity with credentialing, payer portals, or healthcare administration
- Experience reviewing or coordinating another person’s administrative work
Healthcare experience is preferred but not required. Training and written procedures will be provided.

Compensation and Employment Status
- Compensation: Based on relevant experience
- Approximately 16 hours per week
- Part-time, hourly, nonexempt W-2 position
- Not currently eligible for employer-sponsored health insurance or full-time benefits
- Continued employment and scheduled hours are based on performance, business needs, and available work
