Operations & Administration
- Manages critical operational tasks under the direction of the COO
- Handles project management workflow for assigned projects - develops and manages projects from start to completion with minimal direction.
- Administration of credentialing
- Manage clinic build out for the new ketamine clinic
- Ensures efficient scheduling and running of the teams for the ketamine and clinic operations in coordination with the research manager.
- Oversees processes to ensure proper information for patient scheduling, billing and practice related forms
- Grasps and leverages technology and systems and can assist in build out of tools (example: Castor, Monday)
- Follows up on insurance renewals, licensing renewals, malpractice insurance
- Tracks and handles renewals for DEA and CDS
Facilities, Technology, & Procurement
- Ensures oversight and distribution of incoming office mail and voice messaging
- Point of contact for internal office matters (office maintenance, building/office security)
- Hospital liaison
- Office supply management
- Technology support for security risk management and liaise with IT support for office technology matters
- Executes security risk management protocols
- Vendor management
Human Resources
- Support of recruiting activities including candidate screening, interview coordination, and onboarding
- Orchestrate employee meetings & events
- Processing employee payroll
To be successful in the role the incumbent must have:
- A bachelor’s degree with 3+ years of experience with operations/administration in a healthcare setting required
- Experience running payroll and executing human resources processes
- Proven project management experience
- Start up experience a plus
- An eye for detail
