Reporting to the COO, the administrative assistant provides a high level of service in performing a wide variety of administrative responsibilities to support the leadership team and overall needs of the practice.

Description

Core duties include

  • Scheduling meetings, documenting meeting notes and follow up items, maintaining multiple calendars, including coordination of meetings between internal team members and external vendors and stakeholders
  • Ensure cleaning/maintenance matters are escalated to the appropriate hospital contacts
  • Provide hands on support to handle issues when needed (clean up of kitchen area, straighten/declutter office areas)
  • Ensures appropriate distribution and scanning of mail
  • Handles voicemail messages and appropriate follow up
  • Inventories and orders office supplies
  • Preparation for events and meetings including set up, tear down, and catering
  • Running reports and updating presentations
  • Makes travel and accommodation arrangements
  • Handling confidential and sensitive information, using discretion and securely managing information
  • Thinks on their feet and makes decisions quickly and efficiently with little supervision
  • Takes initiative to identify resources and solutions
  • Additional responsibilities assigned


To be successful in the role the incumbent must have:

  • 3+ years of administrative support experience 
  • Ability to work effectively in a dynamic, clinical office environment, and wear many different hats
  • Strong fluency in use of Google Workspace applications and/or Microsoft office applications including Word, Excel, Powerpoint
  • Critical thinking skills and the ability to run point on assignments
  • Excellent interpersonal and communication skills
  • Detail oriented and highly organized
  • Able to perform under pressure in a fast paced environment with constant change
