We are looking for a Client Care & Billing Coordinator who enjoys helping people, thrives in a fast-paced environment, and takes pride in delivering an exceptional client experience.


This position plays a vital role in the firm's daily operations and is ideal for someone who is organized, proactive, and comfortable balancing customer service, billing, and administrative responsibilities.


Position Summary

The Client Care & Billing Specialist serves as the primary point of contact for prospective and existing clients throughout their relationship with ST Law.


This role is responsible for managing client communications, scheduling consultations, coordinating the intake process, processing payments, monitoring accounts receivable, and maintaining regular communication with clients regarding billing and administrative matters.


This position works closely with the Director of Operations, attorneys, legal intake specialists, and the legal team to ensure every client receives timely communication and outstanding service.


Responsibilities


Client Care

  • Answer incoming phone calls professionally and provide exceptional customer service.
  • Respond to client inquiries by phone, email, text, and the client portal.
  • Schedule consultations and appointments.
  • Follow up with prospective clients after consultations.
  • Maintain consistent communication with active clients.
  • Escalate client concerns appropriately.
  • Document all client communications accurately in MyCase.


Billing & Collections

  • Process client payments.
  • Monitor payment plans and outstanding balances.
  • Contact clients regarding overdue accounts in a professional and respectful manner.
  • Explain invoices and answer billing questions.
  • Coordinate payment arrangements.
  • Maintain accurate billing records.
  • Assist with daily payment reconciliation.


Administrative Support & Intake Coordination

  • Track qualified leads through the intake process.
  • Coordinate with the Intake Team regarding consultations and retained clients.
  • Ensure intake documentation is completed.
  • Monitor lead follow-up activities.
  • Support client onboarding.
  • Maintain electronic client files in MyCase.
  • Upload and organize documents.
  • Update reports and tracking spreadsheets.
  • Coordinate communication between departments.
  • Assist with workflow management and operational projects.


Qualifications Required

  • Minimum of 3 years of experience in customer service, administrative support, client care, billing, or office operations.
  • Excellent verbal and written communication skills.
  • Strong organizational and time management skills.
  • Ability to manage multiple priorities with accuracy.
  • Professional phone presence.
  • High attention to detail.
  • Proficiency with Microsoft Office.


Preferred

  • Law firm experience.
  • Immigration law experience.
  • Billing or collections experience.
  • MyCase or other case management software.
  • CRM experience.
