REPORTS TO: Veterinary Reception Manager


POSITION OVERVIEW

The Veterinary Receptionist is responsible for front-end operations such as scheduling appointments, answering the phone, creating and maintaining medical records, reception area organization, and other duties as directed by leadership. The Veterinary Receptionist should demonstrate excellent customer service.


Responsibilities

  • Answer phone calls
  • Schedule appointments and procedures according to hospital guidelines and flow
  • Create new clients and patients in veterinary software
  • Check-in appointments and procedures
  • Post-visit call-backs
  • Appointment confirmations
  • Request or send patient medical records
  • Record hospital communication with clients and other clinics
  • Maintain hospital email inbox
  • Count and reconcile cash box daily and make bank deposits as requested by the reception manager
  • Relay information between clients, doctors, and managers
  • Maintain appropriate medical and patient records
  • Seek DVM approval for faxed, emailed, or phone-in outside pharmacy requests


Client Relations

  • Provide excellent client service
  • Check out and accept payment from clients as needed
  • Provide client education, such as vaccine schedules and various educational materials
  • Build rapport with clients
  • Send client cards


Patient Care

  • Offer human interaction and enrichment to hospitalized patients
  • Assist in caring for clinic cat
  • Ensure clients and patients are promptly shown to exam rooms
  • Be an advocate of a Fear Free environment and handling


Housekeeping and Cleanliness

Laundry

Complete the closing checklist daily

Complete weekly & monthly checklist duties as assignedEnsure reception desk and waiting area are tidy and clean.

Clean and sanitize exam rooms when requested

Unpack shipments and update inventory when requested


Hospital Functions

Fill prescriptions when requested

Order and record online pharmacy requests


POSITION REQUIREMENTS

Education and Experience Requirements

  • High school diploma or equivalent
  • 1 year of customer service experience


Personal Requirements

  • Feel and express a genuine love for cats and for working in an animal care environment.
  • Perform basic computer skills, including Vetter and Google functions.
  • Physical Effort: Work requires lifting and carrying patients and equipment weighing up to 30 lbs; requires sitting or standing for extended periods of time.


Working conditions:

  • May be exposed to unpleasant odors, noises, and animal feces. May be exposed to bites, scratches, and contagious diseases.


Our ideal candidate has 1-2 years of medical experience. Experience in the veterinary industry and customer service is preferred.
