Description

We are looking for an Executive Assistant to provide high-level administrative support to an executive, managing their calendar, handling communication, arranging travel, preparing documents, and overseeing various office tasks, essentially acting as a gatekeeper to the executive's time and prioritizing their schedule to ensure smooth operations.



Key responsibilities may include:

  • Calendar Management: Managing complex schedules, scheduling meetings, appointments, and prioritizing urgent matters. 
  • Communication Management: Screening calls and emails, responding to inquiries on behalf of the executive, drafting correspondence and presentations. 
  • Travel Arrangements: Booking flights, accommodations, and transportation for business trips. 
  • Document Preparation: Editing and preparing documents, reports, presentations, and expense reports. 
  • Meeting Coordination: Setting up meeting agendas, preparing materials, and managing logistics. 
  • Office Administration: Ordering supplies, managing office equipment, and coordinating with other departments. 
  • Project Management: Assisting with project coordination, tracking progress, and ensuring deadlines are met. 
  • Confidentiality: Maintaining strict confidentiality regarding sensitive information. 



Required Skills:

  • Excellent communication and interpersonal skills
  • Strong organizational and time management abilities
  • Proficiency in Google Workspace and other relevant software
  • Detail-oriented with high accuracy standards
  • Ability to prioritize tasks and manage multiple demands
  • Professional demeanor and strong work ethic
  • 2+ years experience in a relevant role
  • HubSpot experience preferred
