Job Title: Operations & Finance Manager

Status: Full-time, Non-exempt

Reports to: Chief Executive Officer

Location: Remote

Art Pharmacy is seeking a collaborative and self-motivated Operations & Finance Manager to join our team. Reporting directly to the CEO, the Operations & Finance Manager will be responsible for developing and managing the financial operations of the business, managing day-to-day operations, and supporting the overall strategy implementation. As the first full time operations team member, the Operations & Finance Manager will work closely with the CEO and Head of Service Development & Delivery to build the financial, operational, and HR infrastructure for the organization.

The individual in this role will interface daily with internal and external team members, be responsible for administrative functions of the company, and ensure business operations are running smoothly.

  • Ensure all systems operate smoothly and align with our quality standards
  • Monitor daily operations and address potential issues when they arise
  • Manage and develop financial processes to ensure compliance
  • Develop and prepare budgets, recommend cost control strategies, and provide insights on profitability
  • Prepare and submit monthly, quarterly, and annual financial reports
  • Work with other team members to optimize spending and resources usage 
  • Monitor cash flow and working capital, to ensure the company meets its short and long-term financial goals
  • Serve as a point person to partners and clients for operational requests
  • Maintain vendor accounts, make orders, and support requests as needed
  • Coordinate and manage HR activities
  • Take into account the needs of external and internal stakeholders and incorporate them into new strategic plans
  • Contribute operations information and recommendations to strategic plans and reviews; prepare and complete action plans; implement production, productivity, quality, and customer-service standards; resolve problems; identify trends

Qualifications & Requirements

  • Bachelor’s Degree in Business, relevant field or equivalent experience
  • Previous experience as an Operations Manager or in a similar role
  • Experience with budgeting, financial forecasting and ability to interpret financial data
  • Experience with databases and project management software
  • Exceptional communication skills
  • Excellent communication and interpersonal skills
  • A proven ability to adapt to the evolution of a start-up company
  • Ability to work autonomously, prioritize multiple tasks, and meet tight deadlines
